As we grow, we’re seeking a passionate, detail-oriented Event Planner/Coordinator to help us develop and execute high-impact events that promote awareness, build community, and support our mission. Position Summary The Event Planner/Coordinator is responsible for the ideation, planning, coordination, and execution of all internal and external events related to Patriots Pet Care, including volunteer meetups, fundraising galas, military family outreach events, info sessions, training workshops, pop-up pet wellness events, and more. This role plays a critical part in expanding our visibility, engagement, and impact. Key ResponsibilitiesEvent Planning & Execution Plan, organize, and execute events of varying scale including community outreach events, educational sessions, adoption fairs, pet care expos, and donor functions. Create and manage event timelines, run-of-show schedules, vendor checklists, and contingency plans. Coordinate with internal staff, volunteers, sponsors, and community partners to deliver seamless events. Ensure events align with brand messaging, mission, and values. Outreach & Partnerships Cultivate partnerships with vendors, local businesses, nonprofit organizations, military support groups, and government agencies. Source and secure event sponsors and in-kind donations when appropriate. Marketing & Promotion Collaborate with the Marketing Team to create and distribute promotional materials, flyers, invitations, and press releases. Promote events through social media, email campaigns, community boards, and military channels. Assist in post-event content creation (e.g., recaps, photo galleries, thank-you emails). Logistics & Budgeting Manage all aspects of event logistics including location booking, permits, AV setup, catering, staffing, signage, transportation, and accommodations when necessary. Develop and maintain event budgets, ensuring cost-effectiveness and accountability. Volunteer & Team Coordination Recruit, brief, and supervise event volunteers or staff before and during events. Lead event day setup, execution, and teardown with strong attention to detail and leadership. Reporting & Evaluation Track key event metrics (attendance, engagement, feedback). Analyze outcomes to improve future events. Prepare summary reports and presentations for leadership and stakeholders.
Preferred:
Experience working with military organizations, nonprofits, or pet-related industries. Familiarity with CRM platforms and donor management systems. Experience in fundraising or sponsorship development.
