Position Description Advertised Job Summary The Events Coordinator coordinates internal law school events and assists the Events Manager with external events. The coordinator will manage event set-up/tear-down of law school events, activities, and programs; organize and maintain a supply inventory; process payments for event-related expenditures, track event expenditures, and prepare final event reports. The Events Coordinator is also responsible for assisting the Events Manger in event activites including: managing event registrations, preparing event contracts, handling catering orders, preparing event materials and communications such as invitations, menu cards, name tags, placecards and programs, managing linens, handling event decor and design, and providing excellent customer service to event guests. Job Related Minimum Required Education and Experience Requires a bachelor’s degree in a job related field and no prior work experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience. Required Certification, Licensure/Other Credentials Preferred Qualifications Experience working in events is preferred. Knowledge/Skills/Abilities Excellent customer service skills and professionalism. Proficient in Microsoft Office and Excel, and working knowledge of communications tools such as Canva and Adobe. Proficient in PeopleSoft and event registration applications such as TouchNet and Eventbrite, as well as the ability to become skilled in these applications. Ability to keep accurate written records. Sound judgment, initiative, and a keen eye for detail are required. Problem-solving ability. Ability to prioritize and work under stress. Ability to plan and direct student workers as necessary. Excellent organizational, time management, communication, and interpersonal skills, and the ability to work effectively with a diverse constituency of faculty, staff, alumni, students, and the public. Flexible to accommodate unpredictable demands. Must be or become knowledgeable of relevant USC and Educational Foundation policies and procedures. Ability to manage multiple tasks and perform all duties while remaining personable and professional. Ability to be attentive to the needs of event owners and proactive in response to their needs. Job Duties Job Duty Serves as receiver for event invoices and pays invoices using either the University or Educational Foundation approved process (depending on funding source), following the applicable University or Educational Foundation policies. Also assists in handling other law school payments. Tracks event budgets and promptly shares with the event owner. Essential Function Yes Percentage of Time 10 Job Duty Oversees event logistics. Schedules the set-up/tear-down for events and programs. Receives event needs from the event manager and owner, and coordinates with either movers or student staff to set up and tear down all furnishings.
