The scale, purpose, and audience of the events vary widely, but the primary objective of this position is consistent: to represent the College of Law in the most professional and excellent matter to members of the University and beyond. This position reports directly to the Associate Director of Operations. The Events Coordinator is responsible for planning all the events hosted by the College of Law. (events vary from smaller student organization events to large yearly galas with several hundred guests). This position will plan, coordinate, and execute internal and external events, working closely with all College departments and members of the UT Foundation (via the college Advancement Office). The Event Coordinator’s duties will include securing venues, liaising with outside vendors, ordering catering, setting up décor, and covering logistical needs from planning to execution. This position will also work closely with the college Communications Office to ensure proper and timely promotion of events, preparation of related materials (e.g., programs, signage, etc.), and consistent branding that complies with University regulations. The Events Coordinator will work with the Associate Director of Operations to create a master events calendar for the College of Law to ensure all events are included and have a uniform style and appearance. The Events Coordinator will monitor all space reservations through the College of Law’s portal to guarantee alignment with the master calendar. This position will also keep records of all events and their levels of success/attendance to ensure the continued improvement of all College of Law programming. The Events Coordinator ensures event budgets are adhered to and is proactive when seeking out quotes and different vendor options. The Events Coordinator attends to all events related logistics, including travel arrangements and coordinating with the Business Office to ensure all details are addressed. External to the
University:
As the College of Law’s Events Coordinator, this position works regularly with multiple local and national business (e.g., hotels and restaurants) and often acts as the primary point of contact and representative of the College of Law.
Division/College, Campus/Institute, University:
Due to the large number of events coordinated by this position, the Events Coordinator communicates with and interacts regularly with administrators, faculty, and staff from the College of Law.
Required Qualifications Education:
Bachelor’s degree
Experience:
Minimum of 3 years experience in administration or event coordinating
Knowledge, Skills, Abilities:
Strong organizational skills and interpersonal communication skills are paramount in this position. The successful candidate must be able to work independently and form strong working relationships with all departments at the College of Law. The successful candidate should possess strong communication skills and be comfortable engaging with diverse groups, including

- distinguished campus guests, students, faculty, alumni, high-level administration, and external vendors.
Willingness to learn new programs and procedures and possesses initiative to anticipate and resolve issues which arise. Computer skills are required, with a knowledge of Microsoft Office programs. The ability to multitask and project manage are important and the flexibility to work occasional evenings and early mornings and rare weekends is required.

Experience:
Event planning and working in a higher education setting experience is preferred.
