We are seeking a friendly, organized, and detail-oriented Front Desk Agent to join our Notary Public office. As the first point of contact for clients, you will play a vital role in delivering professional and courteous service while managing front desk and administrative operations. This role requires strong communication skills, efficiency, and a commitment to maintaining confidentiality and accuracy in a fast-paced legal services environment.
Key Responsibilities:
Greet clients and visitors in a warm, professional manner, creating a positive first impression. Answer and route incoming calls with professionalism and discretion. Schedule notary appointments and assist with managing daily calendars for the notary staff. Perform accurate data entry and maintain client records in accordance with legal and office standards. Assist with preparing, filing, and organizing legal documents and notarization records. Explain basic notary services and office procedures to clients, referring legal questions to the notary staff. Ensure the front desk and waiting area are tidy, organized, and client-ready at all times. Provide occasional administrative or personal assistant support to ensure smooth office operations.
Requirements:
Previous experience in a front desk or receptionist role; experience in a notary, legal, or administrative office is preferred. Proficiency with Google Workspace (Gmail, Docs, Sheets, Calendar). Excellent verbal and written communication skills with strong phone etiquette. Ability to prioritize tasks, manage time effectively, and work independently. Strong attention to detail and commitment to handling sensitive client information with confidentiality. Professional demeanor with strong interpersonal and customer service skills.
