Director of Guest Services Description Position Summary To assign rooms according to purchased room type, guests requests and preferences whenever possible. Communicate ongoing changes to other departments and staff members as changes, reservations and cancellations occur. Provide ongoing exceptional guest service in order to drive guest satisfaction scores. Responsibilities Review out-of-order rooms daily and communicate any day of issues with the appropriate departments Review/ Track/ accommodate requests for room/ check- out changes when possible; communicate status to appropriate staff. Confirm reservations and cancellations. Ensure rates match market codes as well as deposit and cancellation rules and document exceptions. Verify and adjust billing for guests. File guest paperwork or documentation. Handle all discrepancies and/or questions with reservations from groups, leisure guests and wholesalers with all calls answered within 24 hours. Check e-mail reservations and respond to requests. Help support Reservations office with group and wholesale reservation issues. Support Reservation Office during heavy call volume. Balance PMS system for revenue opportunities. Send credit card authorizations and follow correct procedure. Handle gift certificate reservations. Perform various other duties as assigned in an accurate and timely manner. Follow all company policies and procedures; maintain confidentiality of proprietary information; protect company assets. Welcome and acknowledge all guests according to company standards; anticipate and address guests’ service needs; assist individuals with disabilities; thank guests with genuine appreciation. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Coordinate tasks and work with other departments in a professional and courteous manner. Use guest name a minimum of 2 times during conversation. Speak to all callers, guests, and co-workers in a polite and professional manner. Develop and maintain positive working relationships with others; support teams to reach common goals. Perform other reasonable job duties as requested by supervisors. Qualifications Physical Demands Must be able to: ▪ Stand, sit, or walk for an extended period of time. Able to sit for 8-10-hour shifts▪ Able to enter and locate information using computers and/ or POS systems.▪ Able to lift, carry, push, pull, and place objects weighing less or equal to 10 pounds without assistance.
