Position:
Hotel Front Office Supervisor Description:
The Front Office Supervisor is responsible for providing guidance and leadership over the Front Office Operations on a day to day basis. They are to ensure each front office personnel is following the standard operating procedures for their position and facilitates/enforces training where needed. They ensure communication is streamlined from other departments to the FO and execute administrative responsibilities needed for the Front Office to run effectively and efficiently. The Supervisor is also to reinforce excellent customer service and satisfaction by handling customer concerns or issues as they arise. Lastly, any other additional administrative responsibilities as they are assigned.
Specific Job Duties & Requirements:
Must know Excel and Word Must have Supervisor Experience Manager On Duty MOD Assist with Daily MOD Report Perform Check in/out evaluations Service & Guest Recovery Issues – Log Blocking Rooms for Next Day Arrival, Track of VIP Read/Answer Emails Ensure the VIPs Amenities are delivered Settle Housekeeping discrepancies Ensure Departures have in fact Departed Enforce SOPs and Policies for Front Office Assist in Training Mentor and Develop personnel Receive Call Outs for Staff and make coverage Work Front Desk Shifts and relieve Staff for breaks Manage Staff’s breaks Check FO Communication Log, Transportation Log & Daily Events and ensuring each staff member is reading & initialing as well Assist with Bell Staff/Valet/Driving when needed Keep track of trends from Staff members that may need retraining. Performing the training Any additional tasks provided to them by the Director Event resumes- (Making sure they’re set up for all groups, even for groups that are coming in when you are off) Make sure rate codes are enter properly, following up with sales for missing event resumes and routing) Billing Information Double Check Rooming Lists Provide FD with their copy and notes necessary Routing Billing Disputes- (you are responsible for calling guest back and completing all transactions) Memos (you will assist with training all employees on new memos going forward. If there are employees you know you will not see with in the week, you are to manage and delegate on exactly who hasn’t be trained and on what memo exactly) Make changes to personnel checklists Keep Front Desk, Night Auditors and Valet inventories filled. Notify Director when supplies are needed Managing Lost and Found (Storing, Retrieving, Calling Guests Back, Sending Items and Logging transactions) Track inventory for guest toiletries. Report to Director when low Ensure staff is reading & signing off on Digital Alchemy weekly Keep track of personnel and their upcoming training dates Train on night audit to assist in coverage when night auditors are off Candidates must have open availability. This is a full-time position (40 hours a week).
