Role:
A private family estate is seeking a highly skilled and experienced House Manager & Concierge to oversee the daily operations and ensure the seamless functioning of the interior household. This leadership role is responsible for managing and supervising the housekeeping team, chef, and other interior support staff to maintain the residence at the highest standards of cleanliness, hospitality, and service. The House Manager will also provide personalized concierge services to the Principals and their guests, coordinating household logistics, events, and vendor interactions. This position demands exceptional attention to detail, organizational excellence, and a proactive approach to anticipating the evolving needs of the household. The House Manager reports directly to the Principal and the Executive Assistant.
Key Responsibilities:
Leadership & Interior Team Management:
Oversee, schedule, and manage all interior household staff, including housekeepers, the chef, and other domestic team members. Ensure clear delegation of responsibilities and conduct regular check-ins to confirm standards are met across all departments. Provide training, mentorship, and performance feedback to interior staff. Serve as the main point of contact for all service-related matters within the home, communicating directly with the Principals to address needs and feedback.
Housekeeping Oversight:
Supervise the daily execution of cleaning tasks throughout the estate, guest quarters, and auxiliary areas. Conduct walkthroughs and inspections to ensure consistency with housekeeping SOPs. Ensure the household is fully stocked with necessary cleaning supplies and coordinate orders as needed. Maintain high standards of appearance and functionality throughout all living and hospitality spaces. Manage and supervise housekeepers, including their schedules and performance, ensuring adequate coverage. Carry out specialized cleaning for delicate surfaces, fine art, and unique materials requiring extra care. Follow the housekeeping calendar for scheduled deep cleans and seasonal maintenance tasks.
Concierge Services & Principal Support:
Ensure the home is prepared for the Principals’ arrivals, departures, and evening routines. Coordinate seasonal transitions, including wardrobe rotation and household décor updates. Assist with packing and unpacking for travel; organize closets and personal belongings. Offer guidance on daily wardrobe and handbag selections upon request. Provide light bartending, informal service, and occasional cooking during the chef’s absence. Collaborate with the culinary team to ensure smooth daily service and readiness for entertaining. Perform morning tidy-ups and evening turndown service in Principal bedrooms. Liaise closely with the Executive Assistant to stay aligned on travel schedules, preferences, and special requests.
Laundry and Wardrobe Management:
Oversee washing and dry cleaning of all estate laundry, adhering to guidelines and the Estate manual. Maintain a log of items sent for cleaning; ensure items are returned in proper condition and accurately logged. Ensure all items are returned to their designated storage areas.
Beverage Program Oversight:
Manage the wine cellar inventory, ensuring proper storage and cataloging. Keep the bar fully equipped with a variety of spirits, mixers, and necessary accessories, regularly replenishing supplies and introducing new items as per the Principals’ tastes.
Guest Care and Hospitality:
Prepare guest suites and address guest needs, providing personalized attention and services. Assist in coordinating and executing household events, ensuring exceptional guest hospitality. Manage guest requests and inquiries efficiently and discreetly.
Administrative Tasks:
Track all incoming orders and packages, processing returns and refunds as needed. Receive and audit packages, notifying the Principals of arrivals and assisting in organizing items. Maintain petty cash.
Additional House Maintenance:
Assist with estate projects or special requests as directed by the Principals or Executive Assistant. Pertaining to all Estate Staff (General Responsibilities): Adhere to beginning and end of day procedures as they pertain to their respective roles. Assist with household tasks (e.g., errands, maintenance, special projects). Provide support during events or gatherings (e.g., transportation logistics, security arrangements). Assist in emergency response and crisis management (e.g., medical incidents, security breaches, natural disasters). Collaborate with other members of the estate team to ensure a cohesive and efficient operation, assisting colleagues and providing backup support as needed. Adapt to special requests or unexpected changes in plans from the Principals or their family members, demonstrating flexibility and responsiveness.
Qualifications:
Proven experience in household management, hospitality, or a similar executive support role within a private residence. Exceptional organizational skills and meticulous attention to detail.
