Administrative Assistant and Road Manager Magic, Balloons and More Inc. 36 Werman Court, Plainview, NY 11803 Job Overview The essential engine behind the curtain, responsible for maintaining smooth operations, artist readiness, and administrative organization across multiple domains. The role spans personal assistant work, live event prep, Client relations, and brand upkeep. Working both independently and collaboratively, you would ensure everything from email triage to prop packing runs like a well-oiled machine.

Pay:

$18 / hour during training; increases to $20/hour once training is completed Responsibilities Administrative & Office Management Triages inbox: Sorts and organizes incoming emails to ensure they get to the correct team member and track incoming requests to reduce potential bottlenecks. Collaborates on calendar management, follows up with booking agreements, and maintains up-to-date schedules Manages and updates task boards, helping with deadlines and goals. Books events, creates booking agreements, accounts receivables, and manages lists and special requests Coordinating event announcements Basic website maintenance and management Delivers packages to the Post Office and UPS when needed Package merchandise for shipping relaod balloon sculpting equipment Pack cases for shows Live Show Support Oversees packing/unpacking of show kits, maintaining show inventory Preps dressing rooms and green rooms for shows with necessary materials Costume logistics Assists with on-the-ground setup and breakdown, maintaining performance flow Coordinates on essential travel and performance planning Stage Management at events Tracks needs and upkeep of all gear, coordinating replacements and repairs as needed potentialy driving to and from events and performances Fan & Brand Engagement Responds to customer comments and special requests with whimsy and brand consistency Assists with the fulfillment of client-related admin tasks like updating mailing lists and outreach Writes/collaborates on blog posts Assists Marketing Manager with content collection (e.g. taking photos and videos at events) Requirements Must have a valid driver’s license and your own personal vehicle Must not be allergic to latex or birds Must be able to lift over 30 lbs Experience with Google Suite (Gmail, Google Calendar, Docs, Sheets, Drive) Basic knowledge of platforms such as Wix, Manager sal, and Inuit Mailchimp Social media or digital content experience Attention to detail and ability to multitask in fast-paced, creative environments
