Job Description
Overview HarperCollins Publishers is seeking an experienced Corporate Services professional to assist with various administrative and operational duties within the Corporate Services Group, which is comprised of Corporate and Executive Travel & Expense, Meetings and Events, Facilities and Food Services. This position will report to the Director of Facilities. Responsibilities
TRAVEL & EXPENSE
Assists in the review and approval of expense reports within the T&E Concur platform. Coordinates domestic & international travel arrangements, including flights, hotels and group transportation. Maintains, troubleshoots, and provides support for Concur online expense management and travel booking tool. Manage bookings through the company’s travel provider, handling logistics and troubleshooting as needed. Management of the American Express corporate card program. Coordinates offsite conferences and events, North America. Assists with any pre/post vendor solutions/implementations, e.g. review, test, troubleshoot.
CORPORATE SERVICES
Works with Office Services/Facilities team to manage and track issues, and the resolutions. Schedules maintenance/service calls with vendors for construction, installation, repairs—In coordination with facilities and security. Liaise with vendors, service providers and internal clients to ensure all issues are monitored and resolved in a timely manner. Assists in reviewing, submitting and tracking vendor and service providers invoices for accuracy and approval. Organizes logistics for in-house events. Supports Robin desk booking tool and coordinates office move logistics. Maintain Corporate Services information posted on the internal company website and monitor shared mailboxes. Qualifications Minimum 5-7 years of related experience Prior experience in disbursements, expense, travel or financial planning Strong knowledge of corporate Expense and Travel programs Ability to manage multiple priorities simultaneously within a fast-paced environment Must be data oriented and have analytical capabilities, and able to present complex data to a wide range of audiences Effective verbal and written communication skills Exceptional organizational skills and strong attention to detail High level of discretion, sound judgement, and a proactive, solution-oriented attitude. Excellent interpersonal and communications skills, with the poise to support senior leadership in an executive setting Quick problem-solving skills MS Office proficient, Concur Expense Management a plus Team player, works effectively with others Strong client service skills that develop effective working relationships with internal and external stakeholders This is not a work-from-home position.
