Schedule:

Monday through Friday. Core location operating hours are 8:00 am to 5:00pm. Lunch is 1 hour per day between 11:00-2:00.

Description:

The Assistant General Manager is the backbone of making the experience at Venture X fantastic for all Venture X members and guests! As the Assistant General Manager, you will support members and staff in the full operations of the space. You will work closely with the General Manager to carry out the daily activities of running a welcoming and functional coworking space. The perfect person for this position will have a love of serving others almost as much as they love details needed to maintain a functioning space.

Duties and Responsibilities:

The AGM will be responsible for assisting with all aspects of the location’s operations, from touring prospects and answering questions, to member onboarding, to meeting room and event space booking management, to member events, and billing. The AGM will help in the ongoing coaching and development of the onsite team while growing in your professional development. You will be the point person for the location if the general manager is unavailable.

General Duties:

Efficiently monitor and manage an outlook inbox and calendar and a Meeting Room Booking Calendar on Yardi, our CRM software Collaborate with the General Manager to ensure positive member service from the initial lead to the prospect phase to onboarding to retention. This includes giving tours, answering any member related questions, sending email communications, and new member onboarding. Assist in the hiring, supervision, and development of teams, fostering a positive and motivating work environment. Skillfully assess day-to-day operational demands and address concerns effectively, monitoring and using Notion to assure team communication regarding daily, weekly, and monthly tasks or referencing databases, checklists, and to-do lists. Ensure accurate and efficient completion of administrative duties in accordance with company policies and procedures. Assist in planning, creating, editing, and scheduling our Monthly Newsletter and as well as executing necessary tasks to ensure our planned events, holiday closures, and announcements go as planned. Responsible for the operation and success of Venture X’s mail service for members while being in compliance with operational standards, company policies, and relevant laws and ordinances. This includes reviewing applications, data entry/ uploads, audits, and keeping an excel up to date. Assist and manage billing and member charges as needed. Assist in the overall responsibility of ensuring the positive and welcoming atmosphere of Venture X by the following: Contributes to the teams efforts of managing the buildings operational success, tidiness, aesthetic, productivity, and community. Assist with inventory of the café as needed and managing the par levels to ensure adequate materials and cleanliness both for the members and the internal team. Create clear, on brand, and effective flyers/ signs on Canva to put up around the building. Assist with opening and closing procedures to ensure that café, meeting rooms, phone/focus rooms, and the overall space is clean, welcoming, and ready for success. Greets members and guests to create a culture of belongingness and availability to assist. Assists in planning, promoting, and executing monthly member events.

Experienced with platforms like Outlook, One Drive, Notion, Excel, Canva, Yardi, and Hubspot (or other CRMS) (or eager to learn quickly). Experience in administration, hospitality, and leadership.
