Full Job Description Overview:

Not your average “front desk” or “Administrative” position. We’re looking for a high-energy, people-loving leader who can confidently run the front of the office while also managing the numbers and driving execution behind the scenes . As our Patient Experience & Office Performance Director (PEPD) , you’ll be the heartbeat of our practice—ensuring our patients feel seen, valued, and supported from the moment they contact us, then walk through the door, while simultaneously guiding the business toward operational excellence. This role blends empathy with execution, leadership with logistics, and sales with systems . You’ll thrive here if you’re just as excited about creating a “wow” patient experience as you are about tracking KPIs, improving office performance, and working side-by-side with the owner to grow the business.

Your Day-to-Day Responsibilities:

Make every patient feel like the most important person in the room —through genuine connection, exceptional service, and consistent follow-through Lead the patient journey from the first point of contact through ongoing care, ensuring every interaction is warm, professional, and memorable Create a five-star patient experience that exceeds expectations and drives referrals Manage and maintain a full, flowing, and efficient daily schedule to support patient outcomes and office productivity Oversee payment collections —clear, compassionate, and never awkward Monitor key performance metrics (daily, weekly, monthly) and provide reports and insights to the owner Collaborate on planning and execution of monthly and quarterly performance goals Train and lead front office team members to consistently deliver a top-tier patient experience Identify opportunities to improve systems and processes —then implement them Proactively solve problems, anticipate needs , and constantly ask “what else can I do?” You’re Perfect for This Role If You (•7): Have a heart for people and a head for numbers Are outgoing, empathetic, and great at building relationships Love being busy, engaged, and proactive throughout the day Are detail-obsessed, organized (maybe even a little too organized) , and creative Are a quick learner, a strong communicator , and can confidently present ideas and results to leadership Have sales awareness and financial literacy —you know how to present value and track the results Are self-motivated, resourceful, and a natural GSD’er (Get Stuff Done) Thrive in a fast-paced, mission-driven environment where growth is the goal Want to GROW with the business—taking on new skills, roles, and responsibilities over time

Bonus Points If You Have:

Experience in a healthcare, wellness, or chiropractic setting CRM, EMR, or scheduling software experience Leadership or team training experience A background in sales, customer service, or operations A love for creating systems and seeing them work Bilingual (Spanish!) Hours The hours for the position are: 7.30am-1:30 PM. The role will start with morning hours, 7:30-1:30, with the potential of a full-time role.
