Volunteer and Group Tour Coordinator Lightner Museum, St.

Jul 04,2025 The Volunteer and Group Tour Coordinator is responsible for all aspects of volunteer management at the Lightner Museum, and the scheduling and management of group tours.
Your day-to-day work:
- Continue to build the Lightner Museum’s volunteer program through multiple avenues of recruitment, including online resources, community outreach, and advertising.
- Work with the Engagement Manager to promote the museum’s volunteer program.
- Work with the Associate Director and Education Manager to facilitate group tours.
- Work with Associate Director to ensure volunteer coverage in galleries during regular operating hours.
- Work with the Engagement Manager to ensure museum events and programs have appropriate volunteer coverage.
- Ensure adult and K-12 group tours are scheduled and staffed with volunteers.
- Meet with potential volunteers in person to evaluate their suitability.
- Provide new volunteers with the volunteer onboarding documents (Volunteer Application, Volunteer Handbook, Service Agreement, Harassment Agreement, Lightner Museum Tour Fact Sheet, Volunteer Resource Guide).
- Schedule training and onboarding for new volunteers.
- Continue to improve and enhance the museum’s volunteer training program.
- Facilitate the shadowing of experienced volunteers in the galleries and at the information desk.
- Ensure volunteers are informed of museum policies and safety information.
- Maintain and manage the volunteer schedule and track volunteer hours.
- Assist volunteers with MyImpact.com (Online database where volunteer schedules, hours, and information are tracked and stored).
- Conduct volunteer evaluations when necessary.
- Lead tours for adult and K-12 groups as necessary.
- Coordinate volunteer group education and enrichment sessions when new exhibitions open.
- Ensure volunteers are properly informed about the museum and their duties through orientation meetings, group sessions, manuals, emails, and phone calls.
- Promote a comfortable and welcoming atmosphere for all volunteers.
- Plan volunteer engagement activities.
- Other duties as assigned.
What You Bring:
- Bachelor’s degree preferred.
- Minimum of two (2) years’ experience working in a museum or cultural environment.
- Experience working with and recruiting volunteers.
- Excellent written and verbal communication and interpersonal skills needed, as well as the ability to manage time wisely.
- Excellent computer skills and database management.
- Ability to work flexible extended hours, occasional evenings, and weekends.
- Ability to handle a multi-task, fast paced environment, attention to detail.
- Strong interpersonal skills with the ability to build collaborative relationships among teammates
