Essential Job Functions:

Tour Grid Management & Optimization

Management and Maintenance:

Oversee the day-to-day operation of Tour Grids, ensuring they are aligned with business needs across regions, while working closely with
Sales, Marketing, Business Management, and Yield Management
teams.
Ensure tour data in systems like VOICE and Clarity is accurate and up to date, supporting efficient tour scheduling and room inventory management.
Collaborate with
Room Inventory
teams to ensure available room nights align with tour demand, adjusting slot availability and overbooking strategies as needed.

Slot and Tour Allocation:

Partner with
Sales and Marketing
teams to release tour slots strategically based on regional demand and marketing initiatives. Ensure tour waves and slot availability are optimized to meet business targets.
Work closely with the
Revenue Optimization
and
Financial
teams to balance tour allocations with forecasted demand, ensuring tours are booked and managed efficiently to maximize revenue.
Revenue Optimization & Process Efficiency

Optimization of Revenue Streams:

Collaborate with
Sales, Marketing, Business Management, Financial, and Yield Management
teams to develop initiatives aimed at driving revenue growth and tour efficiencies.
Create staffing and tour planning templates that forecast demand 6-9 months in advance, ensuring that room inventory, PTO allowances, and staffing needs align with sales targets.
Evaluate and prioritize tours based on guest profiles, geography, and potential revenue, ensuring that tour allocations maximize yield and profitability.

Process Improvement:

Lead efforts to streamline the tour booking and management process, working with
IT
and
Operations
teams to automate systems and reduce manual entry, improving accuracy and speed.
Partner with
Tour Coordinators
to ensure efficient bookings, accurate tour coding, and proper setup of packages and team resources.
Reporting, Data Analysis & Decision Support

Performance Analysis:

Provide comprehensive data analysis on tour and sales productivity, working closely with
Sales, Marketing, and financial
teams to identify areas for improvement in conversion rates and overall sales performance.
Conduct regular audits of tour data and room inventory usage, ensuring alignment with revenue management goals and optimizing tour performance.
Create reports tracking key metrics such as (VPG, show rates, and tour-to-sale conversion rates), collaborating with
Financial
and
Reporting
teams to present actionable insights to senior leadership.

Reporting & Dashboard Development:

Develop and maintain a dashboard of critical tour and revenue management metrics for leadership review, ensuring
Sales, Marketing, Business Management, and Yield Management
teams have access to real-time data.
Collaborate with the
Reporting
team to produce and distribute timely reports that help drive strategic decision-making across departments.
Cross-Functional Collaboration & Communication

Team Coordination:

Act as the primary liaison between
Sales, Marketing, Business Management, Yield Management, and Room Inventory
teams to ensure smooth communication and alignment of strategies.
Lead regular meetings with key stakeholders to discuss tour slot allocation, room inventory, staffing forecasts, and performance feedback, ensuring all teams are working toward the same revenue goals.
Collaborate closely with counterparts to ensure consistent processes and share best practices across sites.

Project Leadership & Support:

Lead and support the development of new revenue optimization initiatives, ensuring alignment across all key teams, including
Sales, Marketing, Financial, and Business Operations
.
Identify and resolve operational challenges quickly, stepping in to ensure that tour grids, room inventory management, and yield optimization are meeting business needs.

Required Qualifications:

Proven ability to problem-solve, resolve conflicts, and deliver customer satisfaction in a high-pressure, fast-paced environment.
Strong background in managing multiple tasks simultaneously, with a demonstrated ability to prioritize and meet tight deadlines.
Excellent communication skills, with a proven track record of collaborating effectively across
Sales, Marketing, Business Management, Financial, Yield Management, and Room Inventory
teams.
Strong data analysis skills, with proficiency in Excel, Word, PowerPoint, and Outlook to support reporting and presentations.

Skills:

Strong analytical mindset, with the ability to identify trends, provide actionable insights, and drive improvements through cross-functional collaboration.
Solution-oriented, with the ability to identify and implement process improvements across departments.
Highly organized, with the ability to manage multiple projects simultaneously while maintaining a strong attention to detail.

Preferred Qualifications:

Previous experience in the timeshare, vacation ownership, or hospitality industry.
Familiarity with revenue optimization and tour management systems such as VOICE, Clarity, Oracle, and COGNOS.
Experience working across multiple regions.
A bachelor’s degree in business, Marketing, Operations, or a related field is preferred.
