Role:

We are hiring a Compensation and Benefits Specialist. This person will be responsible for administering and executing compensation and benefits programs for the organization. They will compile payroll data and statistics to maintain records and for the calculation of payroll, reviews and records new hires, salary rates and changes affecting new wages such as exemptions, insurance coverage, direct deposits, etc. The Specialist analyzes and evaluates existing compensation and benefits policies and practices and makes recommendations for improvements to align with the organization’s overall goals and objectives.

Major Duties and Responsibilities:

Performs all in-house payroll procedures, including regular, bonus, commission, and manual payrolls, such as entering automated payroll data accurately, processing employee timecards and earned income credits, preparing monthly journal entries, maintaining employee tax deductions and exemptions, and monitoring employee’s data files on-line, including medical leave, benefits and promotions and terminations, and other deductions as approved by the employee. Reconciles general ledger accounts following each payroll run. Maintains copies of all closed payrolls. Enters payroll data, makes corrections to time entries, enters deduction information, and final pay adjustments. Tracks for time and attendance issues. Runs payroll and corresponding reports in a timely manner. Processes reports required by the Retirement Plan trustee and Workman’s Compensation insurance provider. Processes garnishments, and incentive/sales/referral bonuses. Complies with garnishment laws and regulations. Works with the Accounting and Finance divisions to post payroll; creates and posts general ledgers, for all payroll runs. Ensures accuracy of this process and that the general ledger clearing account is cleared in a timely fashion and is reconciled at the end of each month. Submits balancing reports to Accounting after processing each payroll. Reports accurate information concerning payroll to various governmental agencies. Prepares and submits governmental reports, including but not limited to FUTA, SUTA, UI, W/C and tax deposits. Responsible for managing and administering the company’s employee benefit and compensation programs, retirement plans, health insurance, life insurance etc. Coordinates development of benefits materials and manage the annual open enrollment process. Responds to employee inquiries and provide guidance on compensation and benefits

  • related matters. Verifies accuracy of updates to employee records, including address changes, promotions and transfers. Ensures proper employee record maintenance and the accuracy of information entered into employee records regarding payroll and benefits. Coordinates with the payroll provider for year
  • end payroll processing.

Ensures the preparation and distribution of W-2 forms and state forms is done in a timely manner. Coordinates information in preparation of any payroll and benefits related audits, for example, workman’s compensation, unemployment compensation, IRS etc.

Knowledge and Skills:

Experience

  • Three to five years plus proven experience as a Compensation and Benefits Specialist or a similar role. Excellent analytical skills and the ability to interpret complex data and trends.
  • Strong attention to detail and accuracy. Ability to handle sensitive and confidential information with discretion.
  • Excellent organizational and time management skills.
  • Proficient in HRIS systems and MS Office Suite, particularly Excel for data analysis.
  • Education/Certifications/Licenses
  • High school diploma required. Professional certifications in compensation and benefits (e.g., Certified Compensation Professional
  • CCP) are a plus.
  • Excellent communication and interpersonal skills to effectively interact with employees, managers, and executives.

Other Skills Has a working knowledge of compensation, benefits and tax regulations concerning payroll. Is skilled in maintaining an organized payroll system, including lists of employee benefits. Payroll data must be entered accurately. Attention to detail is critical. Physical Requirements Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing/descending stairs in emergency situation. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise. Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines and requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters. Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
