Benefits Administrator Job Description The Benefits Administrator is tasked with managing the day-to-day operations of group benefit and retirement programs. This position involves cross-functional management of projects including data analysis and supporting and maintaining benefits and payroll reporting tasks. The role requires close collaboration with internal teams to ensure compliance with legal requirements and company policies. Additionally, the Benefits Administrator serves as the subject matter expert in benefits and retirement, possessing a fundamental knowledge of payroll concepts, practices, and procedures, along with strong analytical and mathematical aptitude. Responsibilities + Analyze and understand the lifecycle of employee data along with system functionality, aligning opportunities with company strategies. + Partner with external vendors and HRIS systems administration to support day-to-day and annual enrollment activities within the systems. + Actively participate in the setup and testing of benefits administration systems, annual enrollment processes, and employee self-service features. + Coordinate annual compliance testing and required audits with external auditors. + Audit, review, and process weekly funding notifications for all applicable plans. + Administer vendor interfaces and resolve discrepancies, working with vendors to escalate enrollment, file transmission, and system issues. + Analyze large data sets, assess trends or patterns, and make recommendations based on quantitative data and qualitative situational factors. + Review, research, and correct error reports generated from benefit vendors. + Collaborate with payroll to review weekly reports ensuring accurate processing of employer contributions and employee deductions. + Participate in accounting audits related to benefits or payroll errors, ensuring deadlines are met to achieve on-time payments and avoid penalties. + Administer data audits necessary to complete government compliance activities. + Assist with the administration of the 401(k) Retirement plan. + Craft content and communications for employees that reflect company culture and are approachable and succinct. + Partner with the benefits manager to offer recommendations on current benefit trends, programs/changes, and regulatory/legislated requirements. + Create ongoing reporting, in addition to ad-hoc requests. + Manage ongoing and annual ACA filing requirements with external benefits administrators and resolve discrepancies in data elements. + Commit to process improvement and cross-functional collaboration with HR business partners to build efficient and scalable processes. Essential Skills + Bachelor’s degree in business administration or related field or equivalent work experience. + Six years of relevant benefits/retirement administration experience. + Five years of experience with analytical and administration of benefit programs. + Experience with UKGPro or ADP vendors/systems preferred. + Strong analytical, problem-solving, and reporting skills. + Knowledge of benefits laws and regulations, including aspects of the Affordable Care Act and ERISA. + Intermediate-level proficiency in Microsoft Office Suite. Additional Skills & Qualifications + Capacity to understand people issues impacting the business and how the business can create profit and value. + Demonstrate integrity in all business interactions and honor personal commitments. + Ability to provide both verbal and written information clearly, succinctly, and persuasively. + Skill in project management, time management, and resource management. + Ability to utilize or rapidly learn the latest technology in HR-related platforms and productivity software. + Broad generalist background with success in HR principles, payroll, and benefits administration. + Ability to prioritize and multitask daily processes/projects to meet deadlines in a fast-paced environment. Work Environment The team operates efficiently with on-the-job training provided. Initially, the role requires onsite training, transitioning to remote work one day a week. The work involves coordination with vendors and managing special projects including new programs, software, and implementations.
