Position Summary:
Oversees all functions related to employee benefit plans and programs, such as eligibility, communication and education, enrollment systems and processes, regulatory compliance, and reporting requirements. Documents and maintains procedures for benefits processes, plans and organizes activities, and carries out a variety of systems and program management tasks.
Responsibilities:
Serves as the main point of contact for employees, managers, physicians, HR/payroll staff, and vendors on all benefit-related inquiries, requests, requirements/provisions of benefit programs, and basic leave administration. Oversees customer service benefits in monitoring calls, mail, both benefits inboxes, resolving issues, and working directly with employees, managers, and vendors to ensure reasonable timeframes for issue resolution. Handles other benefit operational tasks such as new hire enrollments, qualifying life events (QLEs), status changes, ACA enrollees, QMCSOs, annual open enrollment, arrears/reimbursements, and separations/COBRA – regarding processes, communications, and other various activities associated with benefit programs and the 401k plan. Attends the New Hire Virtual Orientation sessions to answer questions and help with new hire enrollment. Under the guidance of the HRIS Administrator, initiates and monitors EDI projects with the Benefits Administration system and external vendors, while overseeing continued system maintenance as additional changes are created and built (i.e., carrier feeds). Conducts routine audits of various benefits records/files between Benefits Administration, UKG PRO, and carrier files to ensure system errors and reconciliation are accurate and compliant. As benefit issues arise in the Benefits Administration system, responsible for engaging with UKG support (via support ticket) and monitoring the progress towards resolution – when needed, obtaining additional UKG support to effectively resolve issues. Assist with UKG open enrollment build-out through configurations, tests, implementation, communications, and user training. Assures processes and procedures are in place to capture and maintain consistent, accurate, and governmentally compliant benefit-related activities and records. Monitors plan limits, eligibility, and other restrictions on plan participation to ensure compliance with plan provisions and government requirements. Partners with the Total Rewards leader in creating and distributing a variety of educational materials to inform and educate management and employees regarding changes to benefit plans, corporate perks, and other benefits-related programs, administrative practices, and legislative requirements. Contributes to the team effort by completing other tasks/projects as needed. Cross-trains as needed within the HR department for professional development, coverage assistance, and education as situations arise.
Qualifications:
Bachelor/associate in business, human resources, or related field. Demonstrated understanding of employer group benefits. Knowledge of ERISA, HIPAA, Cafeteria 125, PPACA, COBRA, and applicable state and federal laws. Excellent interpersonal skills including the ability to interact effectively and professionally with individuals at all levels; both internal and external, verbal and written. Ability to maintain confidential information. Experience with multi-state benefits administration in a 2,000+ employee environment, a plus. Intermediate computer skills including Microsoft Office; especially Word, Excel, and PowerPoint (Pivot tables, VLOOKUP’s, etc.). Prior experience within a large HRIS environment preferred (UKG/Ulti-Pro, Ceridian, Workday, etc.) UltiPro/UKG strongly preferred. Exercises sound judgment in responding to inquiries; understands when to route inquiries to the next level. Self-motivated with strong organizational skills and superior attention to detail. Must manage multiple tasks/projects simultaneously within inflexible time frames. Ability to adapt to frequent priority changes. Team player who develops strong collaborative working relationships with internal partners and can effectively engage and build consensus among cross-functional teams. Strong problem-solving and negotiation skills.
