The Benefits and Authorization Specialist plays a vital role in supporting patient access to care by verifying insurance coverage, securing necessary pre-authorizations, and communicating financial responsibilities. This individual ensures a seamless experience for both patients and providers by removing barriers to care and facilitating efficient administrative workflows. Additionally, this hybrid role includes on-site front desk coverage as an Intake Coordinator , as needed, to support clinic operations during scheduled time off or unexpected staff absences.

Key Responsibilities:

Insurance & Authorization Coordination Verify and document patient insurance eligibility and coverage for all services. Submit pre-authorizations for visits and services in a timely and accurate manner. Communicate patient financial responsibility and assist in identifying financial support options when applicable. Support mitigation of denied services by coordinating follow-up steps such as appeals and provider reviews. Maintain up-to-date knowledge of payer guidelines and organizational procedures related to service authorization. Front Desk Coverage (Intake Coordinator) Provide in-person administrative support at clinic locations during absences of front desk staff. Greet and check in patients, verify basic information, and assist with intake paperwork. Maintain a professional and welcoming environment for patients and visitors. Operational & Team Support Attend biweekly 1:1 meetings with the supervisor for performance feedback and updates. Collaborate effectively with clinical and administrative staff to ensure timely service delivery. Perform other duties as assigned in alignment with Architech Sports & Physical Therapy’s mission and values

Qualifications:

Education & Experience High school diploma or equivalent required 2-3 years of experience in insurance verification and pre-authorization (physical therapy setting preferred) Prior experience with WebPT or other EMR systems is helpful, but not required Skills & Competencies Knowledge of insurance terminology, benefit structures, and pre-authorization processes Familiarity with medical terminology and clinical workflows Strong organizational and time management skills Ability to manage multiple tasks and prioritize in a fast-paced environment Critical thinking and problem-solving abilities Detail-oriented with a commitment to accuracy Patient-focused, team-oriented, and professional in demeanor Meets expected performance and productivity benchmarks set by management
