Knoxville, TN 37922 Position Summary
We are seeking a detail-oriented and collaborative Benefits Supervisor to support the daily administration of our comprehensive employee benefits & retirement programs. In this role, you will guide the benefits team in managing the full scope of benefits & retirement processes while ensuring accuracy, compliance, and exceptional employee service. You’ll be an important part of the HR team, working closely with the Director of Benefits and delivering an outstanding benefits experience to our employees.
Key Responsibilities
- Lead and actively participate in the day-to-day operations of the benefits team, ensuring the accurate and timely processing of benefit & retirement enrollments, terminations, status changes, life insurance claims, Medicare forms, COBRA administration, and other benefit-related tasks.
- Manage the entirety of open enrollment, ongoing enrollments, and renewal submissions, executing the strategy set by the Director of Benefits and ensuring a seamless experience for employees.
- Experienced in life insurance processes, including calculating rates, managing policy changes (increases, decreases, guaranteed issues, etc), and handling sensitive claims with care and respect.
- Collaborate with the Director of Benefits to ensure compliance with federal, state, and local regulations (e.g., ERISA, HIPAA, ACA, COBRA).
- Partner with payroll to ensure accurate benefits deductions and adjustments, leveraging your experience with HRIS and payroll systems.
- Manage the employee benefits portal and online resources, ensuring employees can easily access and manage their benefits during open enrollment, qualified life events, and other self-service activities.
- Lead the development and execution of an ongoing benefits communication strategy, including creating and delivering engaging materials through multiple channels (e.g., email, webinars, lunch and learns, and digital resources) to ensure employees are informed and engaged.
- Provide oversight and support to managing leave of absence processes.
- Oversee and assist performing benefits invoicing processes, ensuring timely and accurate reconciliation of carrier invoices.
- Manage ongoing and annual internal and external benefits audits, ensuring accurate documentation and compliance.
- Build positive relationships with external vendors and brokers, collaborating with the Director of Benefits on vendor interactions and plan renewals.
- Support ongoing process improvements and contribute to a positive, employee-centered benefits experience.
- Serve as a primary point of contact for employee benefits questions, requiring a strong commitment to exceptional customer service. This role involves frequent phone calls, face-to-face interactions, webinars, and lunch and learning to ensure employees feel supported and informed.
- Manage the benefits help desk ticket system by handling most inquiries directly and assigning tasks to team as needed to ensure timely resolution.
- Willingness to travel as needed for benefits-related events, vendor meetings, or employee outreach.
- Other duties, tasks, and special projects assigned.
Qualifications - Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent work experience).
- 3-5 years of progressive experience in benefits administration, including prior experience in a supervisory or team lead role.
- Strong understanding of employee benefits programs, regulatory compliance, and complex transactions such as audits & filings (CMS, 5500, NDT, etc), life insurance claims, Medicare forms, COBRA processes and benefits invoicing.
- Skilled in HRIS and payroll systems, with experience managing benefits deductions and data accuracy.
- Excellent communication and interpersonal skills, with the ability to create and execute communication strategies and clearly explain benefits programs to employees.
- Highly organized and detail-oriented, with the ability to manage multiple priorities and deadlines effectively.
- Strong customer service orientation, with a demonstrated ability to build trust and provide supportive, positive experiences for employees.
Preferred Qualifications - At least 5 years of experience in benefits administration.
- At least 3 years of experience supervising and leading people.
- CEBS designation or current Health & Life license (or actively pursuing).
- Proven track record of excellent customer service skills, effective communication, and attention to detail.
- Bachelor’s degree in a relevant field.
