Full Job Description Office Organization:
1. Answer telephone by the third ring and take appropriate messages. 2. Greet all associates and applicants and direct them to the appropriate person for assistance. 3. Answer telephone employment verifications. 4. Keep desk and area of responsibility clean and updated with appropriate information and books. 5. Assist co-workers as time allows and as approved through the Director/Manager of Human Resources. 6. Assist associates with change of address and corrected social security numbers. 7. Help associates with forms in the office. 8. Participate in daily stand up meetings at 8:45am. 9. Enroll associates in time clock and assist in overriding punches. 10. Assist associates with Authorization forms. B.
Employee Relations:
1. Report all hotel indications of associate problems/concerns to the Director/Manager of Human Resources immediately. 2. File and maintain all Human Resource files. 3. Assure all mail is picked up, stamped, sorted and delivered. 4. Assure Executive Assistant to GM has current birthday list each month. Serve as backup in Executive Assistant’s absence. 5. Serve as Backup to HR Specialist with completing new applicant, termination, and medical folders. 6. Order office supplies as needed within budget guidelines. Update budget log. 7. Make new nametags for new associates/managers 8. Serve as Backup to HR Specialist with reference checks/employment verifications for each applicant in hiring process. 9. Complete and distribute Daily Packet every day by 3:00p.m. 10. Order name tag supplies, savvy service cards, savvy service posters, and room authorization forms as needed. 11. Keep bulletin boards updated with announcements, guest/client correspondence, updated daily packet, job postings for all PCH Hotels and Resorts properties, new orientation pictures, Associate of the Month certificates, Birthday Board, etc. 12. Mail out TBNT letters/postcards as needed. 13. Responsible for Name Tag log. 14. Collect/Track department meeting minutes each month for all departments by the 5th of each month. 15. Assist with associate activities. 16. Distribute/Track associate evaluations to managers. 17. Maintain fleet safety program. 18. Each associate is expected to carry out all reasonable requests made by management which the associate is capable of performing.
PHYSICAL REQUIREMENTS
Stooping, bending and lifting are required.
