Position Summary
The Workforce Development and Industry Training Support Assistant will be responsible for assisting in the day-to-day functions, maintaining budgets and accounts, providing clerical services, performing reception and referral duties, and preparing necessary reports. The Assistant will also schedule meetings and assist the Dean in maintaining a smoothly functioning office. This position will perform a wide range ofplex and confidential administrative services duties requiring kledge of college policies and procedures.
THIS IS A GRANT FUNDED POSITION. CONTINUED EMPLOYMENT IS CONTINGENT UPON FUNDING FROM THE GRANT.
In accordance with the provisions of the Students First Act, ACT 2011-270, non-probationary status is not attainable by virtue of employment in this position, the funding and duration of which are finite.
Essential Duties and Responsibilities
1. Complies with all policies of the Alabama Community College System Board of Trustees, the Alabama
Community College System and Central Alabama Community College.
2. Assists the Dean of Workforce and Economic Development inposing, preparing and transmitting confidential and sensitive information.
3. Provides Dean in effective correspondence with workforce partners, business, industry, skills training,ernment agencies, andmunityanizations.
4. Represents the College workforce development efforts as it works in concert with Economic Development Alliance agencies to recruit and expand business and industry as instructed by the Dean.
5. Assists with the preparation of documents forpliance reporting to all state and federal agencies.
6. Develops and maintains aprehensive and efficient filing system to include reference materials, publications, articles,mittee minutes and other written documents.
7. Preserves, purges, and archives files as necessary.
8. Assists in documenting the development and implementation and division programs and plans.
9. Assists in gathering information for the College Catalog, Student Handbook, and other College promotional materials.
10. Drafts, inputs, and distributes correspondence, create forms and presentations as needed and maintain an inventory of current forms for the office of Workforce Development and Industry Training.
11. Assists in creating and monitoring the budget/requisition process.
12. Processes all purchase order requisitions, invoices, maintain inventory of office supplies and order supplies as necessary. Ensure office equipment is in working order.
13. Assists in the gathering and inputting of information as required for reports relating to Institutional Effectiveness, grant reporting and other performance measures.
14. Builds and maintains a database of program participation, success andpletion records, and job placement records.
15. Prepares and maintains administrative, business, and academic reports and records.
16. Performs routine correspondence relating to divisional program.
17. Reviews and proofs required reports and forms submitted to the Dean for approval.
18. Serves on Collegemittees as assigned.
19. Establishes priorities to ensure deadlines are met.
20. Interacts professionally with business and industry leader, training participants and all College personnel.
21. Prepares and delivers short term training sessions based on business and industry demands.
22. Utilizes current technology to update and load divisional information to the College web page.
23. Provides customer service to students.
24. Determines budget setup for grants as they are granted to the college; collaborates with the business office for grant setup.
25. Assists in managing grant funds of the college and ensuring grant monies are spent and guidelines of the grant are followed.
26. Prepares performance reports on grants for Alabama Community College System.
27. Assists the Dean in gathering and input of information as required for grant writing.
28. Assists the technical faculty with writing bids, bidpliance, and negotiation with vendors.
29. Manages all aspects of the Truck Driving program; handling all annual documents with ALEA (Contract agreement, 3rd party testing application) enter all requisitions and invoicing, annual insurance application, timesheets, preparation of job verifications on students, tracking date, etc.
30. Works with the s regarding WIOA funding for Non-Credit programs.
31. Responsible for student registration for Non-Credit courses:
- entering non-credit courses and fees in the non-credit schedule;
- entering student applications in the quick flow system” in Banner;
- registering students;
- scheduling of classes and assisting with intake process formunity service courses.
- data tracking and reports to the office of Institutional Effectiveness.
32. Maintains records, files, reports and databases to ensurepliance with state and federal regulations.
33. Enters requisitions and tracking of purchases for the Technical Education programs.
34. Ads to local, state and federal policies and procedures.
35. Performs other duties as assigned. Qualifications
1. Associate degree in Business or Office Administration or related field from a regionally accredited institution is required.
2. Bachelor degree in Business Administration or related field from a regionally accredited institution is preferred.
3. Two (2) years’ of documented office management experience required.
4. Excellent functional kledge and proficiency of Microsoft Office Suite (Word, Excel, and PowerPoint) is required.
5. Excellentanizational and presentation skills are required.
6. Excellent oral and writtenmunication skills are required.
7. Ability to maintain confidentiality of college information is required.
8. Effective verbal and writtenmunication skills are required.
9. Ability to travel to and from all campus locations and attend activities and events in designated areas as assigned is required.
10. Ability to work in a high demand collaborative team work area, maintain a positive attitude,municate effectively, and manage multiple priorities is required.

12. Demonstrated ability to prepare, review, and edit drafts of professional documents is required.

15. Ability to read, interpret and data is required.
16. Documented experience in an educational setting or higher education is preferred.
17. Administrative support experience in a technical or manufacturing related field is preferred.
18. Experience in postsecondary education is preferred.
