Weyerhaeuser Company is searching for an Office Support Specialist for our veneer facility located in Emerson, Louisiana. Emerson, Arkansas is 68 miles from Shreveport, Louisiana, a major city and regional hub offering expanded amenities, entertainment, and travel connections. Position Summary
The Office Support Specialist provides essential administrative and HR support to ensure efficient office operations, regulatory compliance, and a smooth employee experience. This role supports employee records management, recruiting coordination, onboarding, training, and general office functions, all while maintaining confidentiality and professionalism.
Key Responsibilities
Employee Records
Maintain personnel, medical, and training records in accordance with retention standards.
Manage compliance documentation, including E-Verify for new hires.
Prepare HR-related documents such as new hire guides and compensation lists.
Log and track training records in the LMS (Absorb) and distribute monthly status reports.
Recruitment & Onboarding Support
Coordinate hourly interview logistics: schedule group interviews, prepare packets, and support hiring managers.
Schedule and track pre-employment screenings (drug tests and physicals); communicate results to HR and hiring teams.
Facilitate onboarding by allocating assets, preparing materials, assigning training, and coordinating rooms and resources.
Training & Development
Support internal and external training logistics, including room reservations, media setup, and catering.
Office Administration
Provide daily administrative support to the Leadership Team.
Manage scheduling, meeting preparation, document creation, and internal communications.
Order, organize, and distribute meals for site staff, crews, and visitors.
Maintain office cleanliness and organization; stock supplies and manage equipment needs.
Handle incoming/outgoing mail, certified correspondence, and shipping logistics.
Manage office budgets, track expenses, and support cost-efficiency.
Communication & Engagement
Prepare and post internal site communications including safety updates, employee engagement news, and innovation highlights.
Assist with event planning and coordination, including vendor/supplier management for site engagement activities.
Other Duties
Maintain confidentiality and demonstrate professionalism at all times.
Manage associate locker assignments.
Support additional administrative tasks as assigned.
Qualifications
High school diploma or GED.
2+ years of full-time administrative or office support experience.
Complete proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational and time-management skills with attention to detail.
Excellent verbal and written communication skills.
Prior experience coordinating meetings, travel, and vendor communications.
Ability to maintain confidentiality and handle sensitive information.
Demonstrated ability to prioritize tasks and manage multiple deadlines.
Comfortable working in a fast-paced, industrial/manufacturing environment.
Ability to work independently and as part of a team
Preferred Qualifications:
Associate’s degree or higher in Business Administration, Office Management, or related field.
Experience working in a manufacturing, production, or industrial setting.
Familiarity with ERP and ATS systems (e.g., SAP, PeopleSoft, UKG, Taleo, or similar).
Experience supporting plant leadership or cross-functional teams.
Knowledge of inventory, shipping/receiving, or production scheduling processes.

Compensation:
This role is eligible for our annual merit-increase program, and we are targeting a salary range of $42,300 to $63,600 based on your level of skills, qualifications and experience. You will also be eligible for our Annual Incentive Program, which offers a cash bonus targeting 5% of base pay. Potential plan funding may range from zero to two times that target.

Retirement:
Employees are able to enroll in our company’s 401k plan, which includes a paid company match in addition to our annual contribution equal to 5% of your base salary.
Paid Time Off or Vacation:
We provide eligible employees who are scheduled to work 25 hours or more per week with 3-weeks of paid vacation to use during your first year of employment. In addition, after being employed for six months, eligible employees begin to accrue vacation for future use. We also recognize eleven paid holidays per year, providing a total of 88 holiday hours.
