Full Job Description General Description:
This position is responsible for providing support to the Human Resources Department and assist with various administrative tasks. Additionally, this role is responsible for answering, screening, and routing all inbound calls, greeting visitors, and sorting mail.
Core Duties and Responsibilities:
Operates a telephone switchboard; answers, screens and forwards call to appropriate person Takes detailed and accurate messages Greets persons entering establishment, determines nature of visit and directs them appropriately Sorts incoming mail notifies facilities to distribute Processes new employee on boarding to include completing new hire checklist, securing pre-employment documents Including I9s, NDAs and Job Descriptions Creates employee account numbers, coordinates business cards, name plate orders, secure new employee photos, work with technology to secure ID badges, update ADP database with photos, create company new hire and promotion announcements, schedule 1:1 introductory meetings with appropriate team members ect… Works with department managers and Technology team to ensure the timely completion of all new employee IT access, hardware, and equipment needs; this includes placing new hardware orders as needed, securing PO approval and create password log. Provides feedback from new hires and managers to the HR Director to improve the onboarding process within their first week Orders all office supplies for the department and new hires Tracks documentation for personnel files as needed (updates to handbook, etc.) Coordinates meetings; Open Enrollment, Voluntary Benefits, Town-halls, etc. Coordinates company apparel order and deliveries Manages ESP program, birthday & anniversary recognition, including Years of Service gifts, holiday events, vendor days, food drive, blood drive, employee suggestion box, track referral and retention bonuses etc. Updates HR and Customer databases appropriately for all new and terminated employees; assign direct reports as appropriate Submits Helpdesk tickets to add and terminate access as appropriate Creates and sends email mailing content to students on the college recruiting mailing list Assists with the creation of new hire onboarding ideas and implement into process to achieve a seamless onboarding experience Manages equipment/ hardware returns from former employees Updates collateral in restroom stalls monthly with benefits flyers, event flyers, ect… Regular onsite attendance is an essential function of this position Additional duties as needed
Position Requirements:
Associates degree or equivalent 2+ years’ experience in administrative role Strong communication skills Strong organizational skills Exceptional customer service skills Ability to multitask and work effectively with frequent interruptions Intermediate knowledge of Microsoft Office, Outlook, and Excel Detailed and accurate data entry & listening skills Monday – Friday 8am – 5pm
