HR Administrative Assistant Position Summary:

The Human Resources Coordinator & Office Administrator provides a variety of both complex and routine administrative services across all HR and general office administration disciplines, including company activities, payroll, HIRS updates, compliance, and metrics. This role provides assistance with a wide range of project management and coordination of activities that will require the ability to work with minimal supervision, while ensuring a high degree of accuracy and confidentiality to comply with applicable laws and policies.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

Talent Acquisition Ensures compliance with I-9, maintains and produces monthly Employment/Visa Expiration report, maintains contact and correspondence with respective leaders and team members regarding work authorizations. Assists HRBP with initial screening and onboarding and assure orientation is completed. Assign Go1 initial training and assure compliance. Engagement and Communication This role has the opportunity to look for creative and innovative ways to automate internal communication Birthdays, Anniversaries. Assist with monthly engagement events. Benefits Manage and audit billing of all group health insurances. Audit deductions, coverage, etc. Assists with annual Open Enrollment and Health & Wellness Fair. Assist with benefits reports. HR Operations/Labor Relations Maintain HIRS System. Prepare monthly reports Coordinate payroll processing for USA Responds to inquiries regarding verification of employment as needed. Practice sound discretion and escalate matters to HR Business Partner / Chief People Officer as necessary. Assists with performing internal audits to ensure legal compliance of HR disciplines and compliance with Handbook, HR/Payroll system audits. Office Administration Duties Re-stuck employee lounge areas Assist in the coordination of office events Manage mail and distribute Process checks Place order for office supplies Assist in the coordination of meeting room spaces.

EDUCATION AND EXPERIENCE

1+ years’ experience as a Human Resources Coordinator. Bachelor’s Degree, preferably in Human Resources Management or related field preferred, or equivalent job experience. Extensive working knowledge of applicable state and federal employment and labor laws and governmental compliance requirements. Ability to multi-task and excel in a fast-paced and dynamic work environment. Knowledge of the general principles and practices of human resources High level of interpersonal skills to handle sensitive and confidential situations and documentation. Ability to exercise sound judgment and suggest decisions in a manner consistent with BDIns policies. Proficiency in using a variety of computer software applications, such as: Microsoft Office and HR Systems/databases. Solid written and oral communication skills. Additional language preferred
