This position offers a dynamic mix of financial, HR, operational, and customer service-oriented tasks.

Key Responsibilities:

Serve as the first point of contact for all incoming calls, providing professional and efficient call handling.

  • Answer calls promptly (within 3-4 rings) using a courteous and polished greeting
  • Route calls accurately to appropriate staff/departments using a multi-line phone system.
  • Take detailed messages (name, number, purpose) and deliver them via email/Teams.
  • Screen calls (e.g., identify spam, handle basic inquiries to reduce unnecessary transfers).
  • Manage voicemails by responding or forwarding urgent messages promptly.
  • Maintain phone etiquette (tone, pace, clarity) even during high-volume periods.
Financial & Clerical Tasks:
  • Retrieve and process daily mail (depositing checks, entering bills for payment).
  • Assist with payroll processing and financial reporting.
  • Handle scanning, faxing, and document management.
Human Resources Support:
  • Maintain up-to-date employee records and ensure compliance.
  • Schedule and coordinate employee reviews.
  • Manage full-cycle recruiting—posting ads, screening candidates, conducting interviews, and onboarding new hires.
Operations & Oversight:
  • Oversee marketing initiatives and assist with promotional efforts.
  • Manage and execute special projects as needed.
