Description Job Description:

Performs administrative and departmental coordination for Human Resources leadership and department at large. This highly responsible position requires a high level of interpersonal skills to deal with diverse situations and the ability to use sound judgment and apply broader aspects of established policies, practices, and procedures.

Examples of Duties Essential Functions and Duties:

Departmental and Administrative Coordination Provides exceptional, professional customer service as frontline ambassador for HR Department. Primary point of contact for general line calls and visitors to the Winter Haven office. Coordinates the daily operation of an extremely busy department by answering phones and multiple email accounts, processing correspondence and confidential documents, and providing departmental administrative support. Maintains multiple extremely active calendars, scheduling appointments utilizing sound judgment, time management, and confidentiality for the department.
Coordinates and leads weekly departmental meetings. Prepares agendas and attends group and committee meetings to take minutes as needed. Collaborates with Office of Communication and Public Affairs (OCPA) on HR-related newsletter items, Service Awards, and other recognitions. Maintains departmental reports, spreadsheets, databases, and accounts for compliance and accuracy. Other duties and special projects as assigned by department management/administration. Provides administrative support to benefits team as needed.
Document and Budget Management Maintains highly confidential records and ensures a high level of discretion in the office.
Administrator for official electronic filing system of record (etrieve) including scanning, uploading, and sorting employment documents. Coordinates budget records, prepares budget amendments, assists in budget preparation, and processes invoices. Ensures timeliness and reconciliation of HR team’s leave reports and departmental invoices. Proactively processes ordering and reimbursements for team members. Follows department expenses to ensure adherence to budgets.
Processes and tracks applications and payments for College’s Employee Professional Development (EPD) funds. Responsible for processing Requests for Personnel Actions (RPA), requisitions, and employment and education verification requests. Recruiting and On-Boarding Coordination Coordinates candidate scheduling process in collaboration with the Recruiting Team including contacting candidates, setting up meetings (virtual and on-site), and sending confirmations. Assists with Pre- and On-boarding processes through collection of I-9 documents, notarization of documents, candidate application evaluation, and performing education and reference checks.

Excellent oral and written communications skills.
Ability to work independently and follow processes with little direction. Highly developed general office skills including but not limited to advanced knowledge and experience with programs software specifically Microsoft Office 365 (Word, Excel, Power Point, Teams, Outlook) and Zoom. Knowledge of Ellucian Banner, NEOED/NEOGOV, and etrieve software a plus. Ability to learn and support compliance with federal, state, and local employment regulations as necessary. Experience with and understanding of common HR practices desirable.

Working Conditions/Additional Information:

This position is a full-time on-campus position located at our Winter Haven campus but will travel to other local sites as necessary. (Remote/hybrid options are not available.) Normal office hours are Monday through Friday, 8am to 5pm. Weekend and evening work may be required during peak time.
Position may be required to work during College closures (such as winter/spring break and inclement weather closures). Reliable transportation is required for travel to campuses, centers, and community locations.
This position will require the ability to lift at least 10 lbs. Salary and Benefits Information

Required Education:

Graduation with a bachelor’s degree from an accredited institution is required. or
Alternate credential: Graduation with an associate degree with 5 years of departmental coordination or HR experience; HR certification may be substituted for 1 year of experience. or
Alternate credential: Graduation with a High School diploma or equivalent with 7 years of departmental coordination or HR experience; HR certification may be substituted for 1 year of experience.

Preferred Education:

Degree, certification, or coursework in Human Resources.

Required Experience:
