Human Resources Assistant Community Assisted & Supported Living Inc Sarasota, FL Non-profit oganization seeking dedicated, professional human resources assistant to join our team. Summary Provide administrative and operational support to the Human Resources Director and organization as a whole. Human Resources Director:

Daily check of applicants to job postings, screening for qualifications, reaching out to qualified applicants, scheduling interviews, providing input before the interview, and updating Applicant Tracking System (ATS) status. Inform applicants we are not pursuing of their status. Post open positions to free job boards as approved by the Human Resources Director. As directed follow up with interviewees to move to the next step in hiring, including completion of CASL’s application and general typing tests as applicable. Upkeep of applicant packets ensuring paperwork is complete and in order. Follow up regularly with applicants going through the hiring process to keep them updated on their status and engaged. As directed check references, social media accounts, general internet search, and complete OIG and SAM exclusion searches with printed results. As directed send offer emails to candidates and keep management updated on response. Run level II background screen in the appropriate system once paperwork is returned. If needed, add applicants into the system, and send them their Livescan Request Form along with where to go for fingerprints. Check system daily for results and collaborate with the Human Resources Director for follow-up. Email completed Driving Record Release to insurance for approval. Follow up with the Human Resources Director if they are not approved. As directed, meet with new hires for their first day for initial paperwork and onboarding, ensuring all necessary paperwork, documentation, and orientation materials are prepared and provided. Complete items listed on the “Back Endâ€? of the checklist for new hires. Check in with new team members for a follow-up questionnaire. Ensure the other two onboarding questionnaires are completed by their designated team members. Provide feedback from these surveys to the HR Director. Provide employment support to team members, passing along information either to the team member’s direct supervisor or the Human Resources Director as appropriate. Daily check of the hr@caslinc.org email including screening for important information that requires follow-up. Be the back up to accurately review timecards for bi-weekly payroll processing complying with FLSA including deleting breaks that are 20 minutes or less, ensuring time worked is at least 15 minutes, plug PTO per company policy, notify supervisors of errors, log absences on the applicable spreadsheet, and update the resident care schedules. Assist in reminding supervisors regarding performance evaluations when due or past due. Responsible for the completion of monthly safety drills at the corporate office, including completion of the form and uploading to the appropriate SharePoint folder. Is also the point person for other offices to submit their monthly drills to. Upload their forms to the appropriate SharePoint folder. Go through papers from the Suggestion Box at the ALF for real suggestions. Update the shared spreadsheet online and send it to the Assistant Administrator and Director of Quality Improvement. Sends out monthly authorizations for team member TB tests due, including reminders, keeps spreadsheet updated, and files the completed form. Suggest new ideas for improving team member experience, including bringing employee concerns or dissatisfaction to the Human Resources Director’s attention. Maintains human resources records and files both physical and electronic following the established nomenclature, ensuring accuracy, and compliance with regulations. Maintain accurate records, logs, and other documentation. As directed, complete exit interviews with departing team members. Log this information into the “Exit Interviewsâ€? spreadsheet and provide the completed form to the Human Resources Director. Complete the termination checklist at the time of team member separation. Complete biannual OIG and SAM searches for team members and contractors. Assist with Human Resources projects as assigned, including employee engagement with projects as directed. Hold in confidence all personnel, sensitive, financial, and proprietary information. Must maintain appropriate boundaries and to work professionally (ethically), especially regarding confidentiality.

Organizational Administrative Support:

Answer phone calls in a friendly and professional manner, including taking messages, screening calls, transferring calls, and gathering information on referrals to email to the CM team. Help maintain a clean and safe office environment. Read and analyze incoming mail, faxes, memos, emails, and reports to determine their significance and plan accordingly, such as distributing the information or flagging it for immediate attention. Assist with the daily operation of the office by checking voice messages, taking messages, and sending and distributing faxes. Must meet strict deadlines. Check company email while on duty, responding timely, appropriately, and professionally to communicate internally and externally. Must maintain appropriate boundaries in the workplace and to work professionally (ethically), especially regarding confidentiality. Interact and communicate professionally with applicants, co-workers, community partners, vendors, and clients. Must be able to maintain tact and professionalism.
