The University of New England (UNE) is seeking a detail-oriented and customer service-focused Human Resources Coordinator to support the daily operations of the HR office. Based on the Biddeford campus, this front-facing role serves as the first point of contact for both internal and external inquiries and plays a vital role in delivering efficient and responsive HR services across the University. The Human Resources and Title IX & Civil Rights Compliance team provides essential support to the University’s workforce, contributing to a productive and inclusive environment. For more information about our outstanding benefits, please visit: UNE Benefits Overview Responsibilities Manage efficient daily operations of the HR office and provide administrative support including but not limited to managing the front desk, phone, general HR email inbox, tracking and ordering supplies, sorting mail, submitting IT and facilities work orders and other office support duties.
Provides front-line HR support and superior customer service.
Partner with internal HR teams, Payroll, Recruiting, to resolve manager and employee questions within defined timelines.
Oversee background check program for the university.
Schedules, greets and assists new hires (benefits eligible, students, and adjuncts) in completing the I-9 work authorization documents and other associated paperwork.
Work with various departments to streamline new hire process for those employees who are not included on the online system: adjuncts, temporary employees and student workers.
Provides administrative support to the Human Resources and Office of Title IX and Civil Rights Compliance team including: meeting coordination, and processing of invoices, departmental purchase cards and budget.
Maintain and create applicable standard operating procedures and proactively identify and address internal process improvement.
Responsible for HR storage management.
Assist team with various special projects.
Confer regularly with immediate supervisor, other department and University personnel, and/or various individuals/organizations to plan and coordinate departmental activities, inter-office communications in order to exchange information, resolve problems, etc.
Perform other related duties as assigned. Qualifications
Associate’s Degree with at least two years of relevant administrative or HR experience, or an equivalent combination of education and experience.
Strong customer service skills and the ability to provide professional, front-line HR support.
Proven ability to manage multiple priorities, work under pressure, and meet deadlines in a dynamic environment.
Strong judgment, tact, and discretion, with the ability to handle confidential and sensitive information appropriately.
Excellent interpersonal and communication skills with a strong customer service orientation and the ability to interact effectively with diverse individuals at all levels.
Demonstrated ability to work independently as well as collaboratively across departments to resolve issues and improve processes.
Attention to detail, ensuring accuracy and consistency in all tasks and communications.
Proficiency in Microsoft Office Suite, with the ability to learn and utilize other technologies as needed.
Resourceful and proactive problem-solver, with the flexibility to adapt to ongoing change and continuously improve operations.
