Full Job Description Recruiting Assistant Office Locations:
Phoenix, Tampa, St. Louis We are seeking a Recruiting Assistant to provide comprehensive support to the Quarles Recruiting Department. This position will support the Firm’s dynamic recruiting team in a variety of administrative functions.
Responsibilities:
Support recruitment efforts by assisting with job postings, candidate communications, and interview coordination Maintain and update applicant tracking systems and recruitment databases Assist with processing invoices, reimbursements, and related administrative tasks Coordinate recruiting events, meetings, and training sessions Manage inventory and distribution of promotional recruiting materials and supplies Facilitate onboarding processes, including preparation/review of new hire documentation and drafting orientation schedules Support the collection and organization of feedback and evaluation materials related to interviews and the summer program Assist with drafting and maintaining agreements and documentation related to recruitment partnerships with search firms Assist with the compilation and preparing of data for internal reports, surveys, and presentations Contribute to planning and execution of internal and external recruiting initiatives and projects Perform general administrative recruiting support and other duties as assigned Who are you? You have a high school diploma or a completed degree 1-2 years of experience in administrative or recruiting support, ideally within a professional services environment You have familiarity with recruitment processes and applicant tracking, preferably using an applicant tracking system (ATS) You are technologically proficient, with strong skills in Microsoft Office, Adobe, and database management You maintains strict confidentiality at all times, ensuring sensitive information is never disclosed or shared You are a team player with excellent interpersonal, written, and verbal communication skills You have a professional demeanor with polished and courteous interpersonal abilities You have exceptional organizational and project management skills, including the ability to take initiative, manage multiple priorities, and meet deadlines You are detail-oriented with strong follow-through and the ability to thrive in a fast-paced environment Why Join Us?
