Non-Exempt Catawba College (“Catawba”) seeks an Administrative Assistant to provide comprehensive administrative support to the Human Resources Department.
ESSENTIAL FUNCTIONS
: Knowledge and skills necessary to perform the position include but are not limited to, the following: Act as office manager to the Human Resources Department Receive and enter employee demographic, salary, and job data into Banner, Maxwell Health, and other Human Resources databases and software systems Open files in electronic human resources drives and prepare hard copy files Scan documents to electronic human resources drives Prepare, copy, and distribute correspondence, reports, presentations and other documents; assist with preparing, processing, and drafting selected e-mail and other documents Schedule appointments and meetings, and manage calendars and appointments Process routine forms, including purchase requests, employee action forms, travel forms Maintain budgets/expenses for the departments under the direction of the Director of Human Resources Perform routine bookkeeping functions for the Human Resources funds and accounts Manage P-card transactions and complete Catawba P-card reports on time Schedule travel arrangements; prepare and process travel vouchers and reimbursements Organize multiple projects as directed by the Director of Human Resources Assist in obtaining documents required for Catawba responses to all administrative claims to include the Equal Employment Opportunity Commission (EEOC) and the United States Department of Education Office for Civil Rights (OCR) Develop and maintain productive relationships with all levels of Catawba employees and boards, committees, outside counsel, and the community at large Perform other duties as assigned
QUALIFICATIONS
: Associate Degree or Bachelor’s Degree required Excellent interpersonal skills for face-to-face, written, and telephone interactions Excellent legal research skills, proof reading skills, and organizational skills; proficient in standard computer applications including Microsoft Office Suite Detail oriented and efficient Excellent oral and written skills; attention to detail; ability to work with diverse groups of people Must be a self-starter and be able to adapt to and excel in a fast-paced environment with multiple deadlines and ongoing projects Ability to develop a harmonious working relationship with all levels of internal staff and external stakeholders At least five (5) years progressive experience in a professional work environment
WORK ENVIRONMENT
: This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, and scanners.
PHYSICAL DEMANDS
: The physical demands described here are representative of those an employee must successfully meet to perform the essential functions of this job. This is largely a sedentary role; however, some filing and movement is required. This would require the ability to lift files and file boxes, open filing cabinets, walking, and bending or standing as necessary. Performance of job duties on nights and weekends may be required in this position.

Founded in 1851 in Newton, North Carolina, Catawba was started by German pioneers who had traveled from eastern Pennsylvania to settle in the valleys of the Haw, Yadkin, and Catawba Rivers. In 1890, Catawba became a coeducational institution and the first woman graduate completed her studies in 1893.
