Job Summary:
The Office and HR Administrator will support office operations and assist with HR functions, including state and federal compliance, reporting, and wage garnishment processes. This role combines office administration with HR administrative tasks to ensure a compliant, professional, and efficient workplace. The ideal candidate will have 2-5 years of experience in HR or related fields, strong organizational and communication skills, proficiency in MS Office Suite, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Assist with
HR Administrative and Compliance Functions:
Support HR tasks, including recruitment activities (posting job openings, screening resumes, scheduling interviews) and maintaining confidential employee records in compliance with data protection laws. Assist with ensuring adherence to state and federal regulations by helping prepare and submit required reports. Assist with processing wage garnishments, collaborating with payroll and communicating with employees.
Coordinate Daily Office Operations and Environment:
Manage office supplies, inventory, and equipment to ensure a well-stocked and functional workplace. Coordinate with vendors for services such as fire alarm testing, pest control, and security maintenance. Maintain a clean and organized office, including daily upkeep of common areas like the kitchen. Reconcile monthly utilities with the landlord and monitor lease terms for compliance.
Handle Office Communication and Scheduling:
Manage incoming and outgoing mail, deliveries, and correspondence. Schedule meetings, reserve office spaces, and oversee the daily conference room calendar. Run errands as needed (e.g., post office, purchasing supplies). Operate and train staff on phone systems, maintaining updated phone lists.
Support Office Security and Guest Experience:
Coordinate office entrance and security protocols, warmly greeting and assisting guests to create a professional and welcoming environment.
Plan and Coordinate Events:
Organize company events, including holiday celebrations, team-building activities, and other gatherings to promote a positive and inclusive workplace culture.
Support Administrative and Client-Facing Tasks:
Perform general administrative duties, such as supporting client communication, maintaining web portals, managing spreadsheets, and completing special projects. Assist with HR-related projects, such as policy updates or compliance training coordination.
Requirements:
Bachelor’s degree in business, HR, or a related field. 2-5 years’ experience in HR, payroll, or related fields. Reliable, professional, and a fast learner with a team-oriented mindset. Excellent verbal and written communication skills, including drafting letters and proofreading. Strong organizational and time-management skills, with the ability to multitask and maintain attention to detail in a fast-paced environment. High proficiency in MS Office Suite (Excel and Outlook required) and adaptability to industry-specific software (ADP preferred). aPHR, PHR or SHRM-CP certification is a plus but not required. Valid driver’s license required.
