Bilingual Office Assistant 5.0 5.0 out of 5 stars Netcong, NJ 07857 The Staffing Office Assistant provides vital administrative support for staffing operations and contributes to business growth by assisting with sales initiatives. This position is ideal for a detail-oriented, tech-savvy individual who can manage staffing records and documentation while proactively researching potential clients and contributing to lead generation efforts. While not responsible for recruitment or direct client management, the role supports internal teams to ensure smooth operations and growth.

Key ResponsibilitiesAdministrative Duties:

Maintain up-to-date employee records and documentation (onboarding forms, timesheets, assignments). Assist with processing onboarding and termination paperwork. Manage internal tracking systems for active and inactive employees. Ensure compliance with staffing documentation requirements (I-9s, W-4s, ID copies). Collect, verify, and enter weekly timekeeping data into payroll or HR systems. Organize digital and physical files for audits, renewals, and reviews. Support administrative projects such as file audits, reporting, and office inventory.

Sales Support:

Research local and regional businesses for potential staffing opportunities. Compile and maintain a database of potential client leads with contact details and industry notes. Assist in drafting outreach emails, introductory materials, and capability statements. Track follow-up efforts in CRM systems or lead spreadsheets. Collaborate with the sales team to schedule appointments and prepare presentation materials. Qualifications High school diploma or equivalent required; associate degree or coursework in business or administration preferred. 1-2 years of administrative or office support experience; experience in a staffing or sales environment is a plus. Proficient in Microsoft Office (Excel, Word, Outlook); experience with CRM tools is an advantage. Strong organizational skills and attention to detail. Comfortable conducting online research and cold lead identification. Excellent written and verbal communication skills. Self-starter with the ability to manage multiple priorities.
