Our services currently include civil and immigration legal services, case management, housing assistance, English classes, HIV, STD, TB, viral hepatitis, and other disease screening and linkage to care, food pantry, community outreach, and HIV and immigration reform advocacy.

Position Overview:

The Human Resources and Office Administrator manages the organization’s day-to-day human resources activities, benefits administration, and office management needs.

Major Responsibilities:

Human Resources/Benefits Administration

  • Manage the hiring process including review and posting of job descriptions, resume review and initial candidate screenings, working with hiring managers to schedule interviews, and validate references
  • Conduct onboarding and offboarding
  • Organize and maintain personnel records for all staff
  • Implement the regulations and procedures associated with applicable personnel laws
  • Manage all employee benefits and prepare and submit required benefits reports
  • Liaise with ASC’s PEO on HR, benefits, unemployment administration as needed
  • Oversee time off requests and address questions/issues regarding time off
  • In consultation with Acting Executive Director, develop recommendations for personnel-related policies and procedures. Office Operations/Facility Management and Technology
  • Oversee office upkeep and repairs
  • Manage office supplies inventory and equipment acquisition
  • Work with IT consultant to ensure staff have the appropriate computer access and connectivity and help troubleshoot on-site IT issues”
  • Liaise with building management to address any issues related to office space and office lease
  • Manage office liability insurance policies
  • Oversee evening and weekend rental availability of ASC community space
  • Manage and distribute metrocards in coordination with Finance Director
  • Supervise the Receptionist and maintenance staff
Qualifications:
  • Minimum of 3 years of work experience in human resources administration, office management, or a related role as an HR Administrator, HR Administrative Assistant or similar relevant role
  • Bachelor’s degree in human resources or relevant field
  • Understanding or federal, state and local labor laws
  • Excellent organizational skills, with an ability to prioritize important projects
  • Strong interpersonal and communication skills, both written and verbal
  • Demonstrated ability to work with a diverse staff
  • Excellent organizational and time management skills with the ability to handle multiple priorities effectively
  • Strong sense of responsibility and trust as demonstrated in previous positions.
  • Strong software skills in MS Office, including Word, Outlook, and Excel.
