Description:
Purpose:

To effectively, efficiently and confidentially assist with the daily operation of the Human Resources Department by providing both administrative and clerical support. To ensure compliance with laws, policies and procedures. The HR Coordinator is responsible for assisting in the daily operation of the Human Resources department; processing of applicants, maintenance of employee records, employee relations and other Human Resources functions.

Status:
Non-Exempt Essential Functions:

To use the Paylocity system in accordance with State and Federal laws. To perform customer service functions by answering employee requests and questions. Monitors a variety of processes (i.e. applications, eligibility, certifications, etc.) for the purpose of ensuring efficient processing of applicants and employees in addressing position requirements and adhering to legal and/or administrative requirements. Assists Agency Recruiter/Department Director with the hiring process including reference checks and other aspects as requested. Accurately interprets transcripts, references, employment records, education codes and employment regulations for the purpose of ensuring compliance with Agency requirements on all eligible applicants. Responds appropriately and timely to written and verbal inquiries from a variety of internal and external applicants regarding the recruitment process. Sends appropriate correspondence to applicants not selected in a timely manner, enters data into applicant tracking system and files application/resume. Assist in processing all background checks as requested, ensuring confidentiality of theinformation and timely communication with applicable parties. Prepares and processes all new hires in the onboarding system [Paylocity], ensuring accuracy, following up with new hires in a timely manner, and apprising supervisor of any discrepancies/concerns immediately. Assists in maintaining the Drivers’ License expiration database, sending out correspondence as needed. Assists the Benefits Specialist/Department Director in the administration of the compensation, benefit and wellness programs of the Agency. Assists the Human Resources department with required mailings, including tracking any items returned with signature. Types and sends correspondence as necessary, accurately and timely. Assists in the audit of HR files when requested, accurately and timely, maintaining audit logs and reporting findings to department Director. Ensures scanning is done accurately and timely.

Other functions:

Assists with communications, public relations and fundraising tasks as assigned. Any and all other related duties as assigned/requested by supervisor.

Requirements:
Qualifications:

High School Diploma/GED. Valid NYS Driver’s License acceptable to Agency Insurance standards required. 1-year Human Resources experience preferred. Strong organizational skills with a keen ability to prioritize and multi-task. Ability to adhere to and meet deadlines. Well developed team skills, unquestioned integrity, and the experience, confidence and presence to effectively handle interpersonal relationships and sensitive HR issues. Excellent communicator (oral and written) including the desire to ask questions and learn from co-workers. Speaks clearly in positive or negative situations, and demonstrates group presentation skills.

Strong attention to detail:

is able to read and interpret written information, edits work for spelling and grammar, and demonstrates accuracy and thoroughness while monitoring own work to ensure quality. Adapts to changes in the work environment, manages competing demands, and is able to deal with frequent change, delays or unexpected events. Proficiency in Microsoft Word and Excel.

Physical/Cognitive Requirements:

Ability to maintain a high level of professionalism and confidentiality. Ability to remain calm in stressful or demanding situations. Sitting for extended periods of time. Use of computer, and/or writing for extended periods of time. Ability to perform multiple tasks. Bending, reaching, pushing, pulling in the course of filing. Adherence to Agency policies including attendance policy.
