The Executive Assistant (EA) to the Chief People Officer (CPO) is a key member of the senior leadership support team. This role provides high-level administrative and organizational support to the CPO and the broader People & Culture Division. The EA ensures the smooth operation of executive functions by managing communications, coordinating meetings and travel, preparing materials, and supporting strategic initiatives. The EA plays a vital role in enabling the CPO to operate at full strategic capacity. This role will also support other executives as assigned.

Roles and Responsibilities:
Executive Support & Communication:

Manage the CPO’s calendar, aligning meetings with strategic priorities and ensuring adequate preparation time. Coordinate all incoming and outgoing communications, including drafting, editing, and distributing correspondence and presentations. Maintain awareness of strategic goals and organizational priorities to support informed decision-making.

Meeting & Event Coordination:

Organize and support large-scale meetings across the health system, including logistics, catering, and materials preparation. Prepare and edit presentations and reports for senior leadership and board-level meetings. Track and manage agendas and follow-ups for 1:1 meetings with direct reports.

Operational Support:

Must maintain the HR credit card, including usage and reconciliation. Prepare travel arrangements (flights, hotels, and cars) for HR staff on an as-needed basis. Develop and maintain systems for tracking deadlines, requests, and events. Coordinate travel and accommodations for the VP and other senior leaders as needed. Greet and assist visitors with professionalism and a customer service focus.

Internal Coordination:

Collaborate with internal departments to ensure smooth communication and alignment with HR initiatives

Required Skills and Experience:

Associate’s degree in Business Administration or related field required Relevant experience will be considered in lieu of formal education. Minimum 10 years of experience as an Administrative or Executive Assistant or similar role with a strong background in human resources required Strong written and verbal communication skills. High level of discretion and professionalism in handling confidential information. Excellent organizational and time management skills. Proficiency in Microsoft Word, Excel, and PowerPoint. Ability to work independently and manage multiple priorities. Professional demeanor with strong interpersonal skills.

Preferred Skills and Experience:

Bachelor’s degree preferred. Relevant experience will be considered in lieu of formal education.

Physical Requirements:

Primarily office-based with occasional event support Minimal lifting (up to 10 pounds) and general office duties.

Location and Travel Requirements:
