JOB SUMMARY
The purpose of this position is to provide administrative support in the daily operation of the Human Resources (HR) Department; to prepare and process a variety of complex and confidential reports, forms, and correspondence; to perform administrative and technical work in assisting applicants and employees; to perform Department HR work; to order supplies and materials; and to file and maintain Department records.
ESSENTIAL JOB
FUNCTIONSPerforms routine customer service tasks; greets visitors and the general public; answers incoming telephone calls; provides information/assistance regarding department services, procedures, documentation, or other issues; responds to routine questions or complaints; researches problems/complaints and initiates problem resolution; and answers inquiries from the public.
Types, processes and prepares correspondence, charts, forms, reports, studies, evaluations, or other complex and confidential materials; prepares and amends reports required by Department, City, state and federal agencies; drafts and types meeting notes and agendas; and proofreads documents. Files and mails employee forms; answers questions; resolves problems; maintains employee benefits/payroll data in automated human resources information systems; and coordinates transfer of data to external vendors, plan providers, and payroll.
Assists with new hire documents; assists with background checks; assists with new hire orientations; may prepare welcome letters for new employees; prepares badges for new hires; prepares files on new employees; maintains employee records. Coordinates employee events; schedules locations for events and trainings; communicates event details to employees and managers; prepares materials for distribution to employees.
Performs other administrative tasks in support of Department activities; completes verifications of employment timely and according to established guidelines.
Files office correspondence and other records; maintains records of various kinds of work done by the Department; opens new files; closes files for storage; and updates file index. Maintains inventory of supplies; orders or requisitions supplies as needed; places calls for maintenance of equipment. Prepares or oversees the preparation of bills to be paid, invoices, and checks; collects money; makes deposits as needed. Processes invoices according to City guidelines. Processes incoming and outgoing mail; distributes mail. Operates a personal computer, general office equipment, or other equipment as necessary to complete essential functions, including the use of word processing, spreadsheet, database, or other system software.
