Full Job Description Job Summary:

The HR Administrative Assistant plays a crucial role in supporting the HR department while managing front desk operations. This position ensures smooth administrative processes, maintains confidentiality with sensitive HR documents, and provides a welcoming experience for employees and visitors.

Supervisory Responsibilities:
None Duties/Responsibilities:

HR Administrative Support Scan and electronically file HR documents, including doctor’s notes, corrective action forms, and garnishments. Maintain hard-copy filing of HR documents as required. Create and proofread HR-related forms, documents, and templates. Assist in updating and maintaining employee records. Act as payroll processing backup in collaboration with the payroll team. Assist with benefits administration tasks, including employee enrollment and updates. Assist with new hire onboarding activities, including preparing paperwork, E-verify, and assigning badges. Front Desk & Guest Services Answer the door, greet guests, and notify the appropriate employee of their visitor. Direct customers to the designated pick-up area and notify the supervisor. Answer incoming calls and direct inquiries appropriately. Office & Event Coordination Deliver incoming packages to recipients. Order, arrange, and deliver catering for on-site meetings. Coordinate the rental of meeting spaces as needed. Order and arrange delivery of new baby, sympathy, and other employee appreciation gifts. Employee Engagement & Communication Manage the Team Member of the Month program, including creating and distributing voting surveys, tallying results, determining winners, and preparing awards. Update informational slides in the breakroom to keep employees informed of key updates and events. Support the performance management process by tracking performance evaluations, collecting feedback, and updating employee performance records. General Administrative Support Ensure front desk operations run smoothly while maintaining a professional and welcoming environment. Assist with scheduling interviews, meetings, and training sessions. Perform clerical and administrative tasks including drafting letters, memos, invoices, reports, and other companywide documents. Assist clerical and support staff with their assigned duties, including preparing reports and presentations, particularly when more advanced, skilled, or sensitive work is required. Maintain office supplies inventory. Perform other administrative and HR-related duties as assigned.

Required Skills/Abilities:

Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Ability to prioritize tasks. Ability to function well in a high-paced and at times stressful environment. Basic understanding of how to operate standard business equipment. Understanding of the importance of confidentiality and its impact on the organization and its stakeholders. Proficient with Microsoft Office Suite or related software. Notary Public certification is a plus.

Education and Experience:

High school diploma or equivalent required. Associate’s degree in office administration or related field preferred. At least three years of administrative experience required, with preference for candidates who have supported HR, payroll, or confidential employee processes. HR certification (e.g., SHRM-CP, PHR) is a plus. Willingness and ability to obtain certification with employer sponsorship required.

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds on occasion.
