Position Summary :

Under direct supervision, the Customer Service Specialist (HR Specialist) serves as the coordinator and point of contact for district customer service training and development.

Qualifications :

High School diploma or GED equivalent required; Bachelor’s degree preferred 3-5 years of experience in an administrative support position. Experience in school district operations preferred.

Essential Duties :

Coordinate district customer service training and development for classified clerical and administrative staff. Answer and route calls, answer questions, and respond to emails. Deliver clear and professional written and verbal communications. Demonstrate active listening skills and empathy in understanding employees’ unique needs. Maintain courtesy and professionalism as a public-facing representative of the HR department. Maintain attentive and responsive lines of communication with the broader team to receive latest updates and keep the team informed of individual progress and challenges. Use district technology systems to access and disseminate information, while maintaining appropriate confidentiality, and create spreadsheets and reports. Maintain records, filing systems, and electronic data. Perform data entry functions as needed and ensure that data is accurate, organized, and easily accessible. Complete other projects and tasks as needed and/or assigned. Performance Metrics and Evaluation The performance of the Customer Service Specialist (HR Specialist) will be evaluated annually by the Chief Human Resources Officer or Superintendent’s Designee based on the following key metrics and expected outcomes: 1. Customer Service Training & Development Facilitate or coordinate a minimum of two district-wide customer service training sessions per semester for clerical and administrative staff. Develop and distribute standardized customer service resources, including onboarding materials and refresher guides. Collect and analyze feedback from training sessions to inform improvements, with a goal of 80% satisfaction on post-training surveys. 2. Responsiveness and Communication Respond to 80% of phone calls and emails within 24 business hours, maintaining professionalism, accuracy, and empathy. Maintain a courteous and solution-focused tone in all internal and external communications. 3. HR Support and Service Delivery Assist with the processing and tracking of certification documentation and inquiries for non-certified teachers and support staff, helping guide them toward compliance pathways. 4. Stakeholder Satisfaction Track and report customer service concerns or trends to leadership on a quarterly basis. 5. Process Improvement and Efficiency Identify at least two recommendations per year for improving HR-related customer service processes or technology use. Successfully implement or support implementation of approved recommendations that improve responsiveness or service quality. 6. Collaboration and Team Communication Participate in regular HR team meetings, contributing updates on service trends, certification challenges, and training outcomes. Share key information with HR colleagues to ensure consistency and alignment in messaging and support.
