We are seeking a highly organized and detail-oriented Benefits & HR Coordinator to support key human resources functions, with a primary focus on benefit administration, leave management, and employee support. This role is responsible for managing the company’s benefits programs, ensuring compliance with regulatory requirements, and serving as a key resource for employees regarding HR policies and benefits. Additionally, this position will support broader HR initiatives, including recruitment, onboarding, and employee relations.
Key Responsibilities:
Oversee the day-to-day management of employee benefits programs, including health, dental, vision, life insurance, and 401(k) retirement plans. Manage the annual open enrollment process, including communication, enrollment support, and documentation management. Serve as the primary point of contact for employee benefits inquiries, providing guidance and resolving issues. Ensure compliance with federal, state, and local regulations (e.g., ACA, ERISA, COBRA, HIPAA). Maintain accurate benefits records, including employee elections, life events, and status changes. Partner with benefits vendors and providers to maintain strong relationships and ensure service quality. Prepare and submit benefits-related reports, including utilization trends and cost analysis. Perform monthly benefits billing reconciliation, verifying invoices for accuracy, identifying discrepancies, and ensuring timely payment processing. Administer leave of absence (LOA) and Family and Medical Leave Act (FMLA) requests, ensuring compliance with company policies and applicable laws. Serve as the primary point of contact for employees regarding leave eligibility, documentation requirements, and return-to-work procedures. Track and maintain accurate records of leave cases, ensuring timely follow-up and communication with employees and managers. Coordinate with payroll and benefits providers to ensure accurate benefit deductions and payments during leaves of absence. Assist with new hire onboarding, including benefits orientation and HR policy education. Support employee relations by responding to general HR inquiries and assisting in issue resolution. Maintain HRIS and other HR-related systems to ensure data accuracy and efficiency.
Qualifications:
Bachelor’s degree in Human Resources, or related field (preferred). 3+ years of experience in Human Resources, with a strong focus on benefits administration. Solid knowledge of employee benefits programs, including health insurance, retirement plans, leave management, and wellness initiatives. Familiarity with benefits compliance requirements, including ACA, ERISA, COBRA, and HIPAA. Proficiency in HRIS and benefits management software. Strong attention to detail and organizational skills. Excellent communication skills, both written and verbal. Ability to maintain confidentiality and handle sensitive information. Strong customer service orientation and problem-solving skills.
