JOB SUMMARY

This position requires limited supervision from the HR Manager. Responsible for the processing of the company’s Free World payroll transactions/maintenance for PRIDE employees. Company Administrator for payroll and benefits. Responsible for communicating benefit package to employees and maintaining related issues. Has a pivotal role within the organization, overseeing and managing various aspects of both human resources and Free World payroll functions. This position is remote but occasionally requires going to the Brandon Corporate office if necessary.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Payroll Administration-Free World Employees Only:

Input all Free World payroll transactions into Paylocity payroll system, such as salary adjustments, changes/transfers, termination of employees, applicable payroll deductions. Creates bi-weekly payroll register with payroll actions for processing each pay period. Review/Approve completed Paylocity payroll processing each pay period for accuracy. Responsible for creating, modifying, terminating payroll departments request by CFO. Provides technical support to employees with any Paylocity-related issues.

Benefits Administration:

Ensure compliance with benefit regulations, such as the Affordable Care Act (ACA) and coordinate with benefits providers to resolve any issues. Attends/participates in quarterly claims meetings and open enrollment meeting with Insurance Broker, HR Manager and CFO. Company Administrator with all outside benefits vendors. Administer and manage employee benefits programs, including health insurance, life insurance and other fringe benefits. Send out insurance letters and packets to eligible employees. Assist employees with benefits/claims questions, changes, and inquiries, serving as the point of contact for benefit-related questions. Process all monthly benefits billings for the Human Resources Department.

Annual Employee Open Enrollment:

Provides census and related data to Insurance Broker for annual open enrollment. Creates & manages Paylocity Bswift’s annual employee open enrollment site each year. Reviews, approves, and processes all annual employee open enrollment elections. POC with all benefits vendors for any issues with annual employee open enrollment elections.

COBRA:

Company Administrator for Paylocity COBRA module. Inputs new hire COBRA information into Paylocity COBRA module. Processes monthly COBRA payment reports for Accounting Manager. Oversees/Approves COBRA enrollments/terminations via Paylocity COBRA module.

Communication:

Maintains regular communication with the HR Manger with department matters. Serves as the primary point of contact for employee inquiries related to benefits and Free World payroll. Communicates changes in benefits programs and payroll processes to employees.

Compliance and Reporting:

Generating and submitting HR-related reports to government agencies. Staying up to date with federal, state, and local labor laws and regulations related to HR practices. Compile and prepare data for monthly, quarterly, and annual EEO and Headcount reports. Provides any requested reports for Senior Management and Bids Administration.

Data Management:

Maintain accurate employee records and payroll data in the Paylocity payroll system. Create/update employee transactions cards and electronic personnel files. Maintain companywide HR checklist spreadsheet.

Onboarding & Offboarding:

Launch and process New Hire Onboarding events in Paylocity. Schedules New Hires pre-employment drug screen/physical and TB testing. Process New Hire, change and termination Personnel Action Forms. Download and/or collect all personnel related paperwork. Maintains monthly change report. Maintains companywide telephone directory. Handle and process all termination paperwork-including requested Medicare VOEs. Answer all questions with terminated employees

Training:

Provide training and guidance to employees on payroll-rated processes and best practices. Conduct training sessions for employees on different Paylocity modules, such as Onboarding and Recruiting.

Requirements:
Education and Experience:

HR Certification with 3+ years Human Resources experience and at least 1 year of payroll experience. Experience in Paylocity payroll software preferred. Adobe Acrobat experience is a plus.

Language Skills:

Advanced verbal, written, and electronic communication skills. Able to read and interpret documents such as procedural manuals. Ability to write routine correspondence and reports. Ability to speak clearly and concisely both on the telephone to callers and in person to employees and others.

Mathematical Skills:

Ability to add, subtract, multiply and divide in all units of measure. Ability to compute rates and percentages.

Reasoning Ability:

Able to interpret a variety of instructions furnished in written, oral, diagram or schedule form. Able to solve practical personnel and benefits related problems and provide feedback to HR Manager. Specialized Knowledge and/or

Skill:

Must be computer literate with advanced proficiency in Microsoft Office Suite, particularly Word and Excel. Adobe Acrobat experience is a plus.

Other Skills and Abilities:

Ability to maintain the highly confidential nature of human resources work. Self-directed, able to initiate and follow-through on processes and procedures applicable to personnel related issues. Must be highly organized and tactful in dealing with people.
