Job Description:
The Policy Onboarding Specialist plays a critical role in ensuring a smooth and efficient transition of life insurance policies through changes in ownership, funding, and onboarding with servicing partners. This position serves as a key liaison between internal teams (Provider, Pricing, Servicing) and external stakeholders (carriers, intermediaries, escrow), managing documentation, coordinating approvals, and tracking progress through every stage of the transition process.
Responsibilities:
Coordinate the end-to-end transition process for life insurance policies, ensuring timely and accurate completion of ownership and servicing changes Obtain all necessary signatures from Secondary Intermediaries and other required parties Submit required documentation to insurance carriers and track the status of outstanding items Request and manage policy illustrations needed for final pricing upon request from the Pricing team Identify and resolve deficiency items after final pricing is completed and change forms are in progress Maintain clear and proactive communication on the status of outstanding items once the policy is officially released to the Fund Review received documentation and request any additional supporting documents as needed Monitor premium requirements during the escrow process and follow up accordingly Process policy fund allocations in accordance with instructions from the Pricing team Request disbursement of funds through the appropriate escrow channels, even while change forms are pending Confirm processing and changes directly with the insurance carrier and follow up as necessary
Qualifications:
Prior experience in life insurance, policy administration, or related financial services field preferred • Strong organizational skills and attention to detail • Excellent verbal and written communication skills Ability to work independently while managing multiple priorities and deadlines Proficiency in Microsoft Office and experience with policy tracking or CRM systems is a plus Comfortable working in a highly regulated and documentation-heavy environment Success Traits Process-oriented and able to follow structured workflows Comfortable navigating ambiguity and problem-solving in real-time Collaborative and communicative across internal departments and external partners Highly dependable with a commitment to accuracy and client service
