EDUCATION

High school diploma or equivalent required. Associate’s or Bachelor’s degree in Human Resources, Hospitality, Business Administration, or a related field preferred. Must be able to speak, read, write, and comprehend the English language at a professional level sufficient to communicate effectively with colleagues, applicants, and leadership.

TRAINING & EXPERIENCE

Previous experience in human resources, hospitality, or administrative support preferred. Familiarity with recruiting processes, training coordination, and HR systems is a plus. Experience in a hospitality setting strongly preferred.

JOB KNOWLEDGE

Must have working knowledge of office equipment and computer systems, including Microsoft Office (Word, Excel, PowerPoint, Outlook). Experience with HRIS systems (e.g., Dayforce) is a plus. Should possess strong interpersonal, organizational, and communication skills. Must be able to handle confidential information with discretion and maintain professionalism in all interactions.

JOB SUMMARY

The HR Assistant provides administrative support to both the Recruiting and Learning & Development functions within the HR Department. This includes assisting with recruiting efforts, training coordination, colleague recognition programs, and internal communications. This role serves as a key liaison between applicants, employees, and department leadership, ensuring seamless HR operations.

PHYSICAL ABILITIES

Must be able to operate a computer and office equipment for extended periods. Requires the ability to sit, stand, and move between locations such as the Employment Office and other areas of the property. Must be able to lift up to 20 lbs occasionally for event or training setup. Strong verbal communication skills are required for both in-person and phone interactions.

DUTIES AND FUNCTIONS

Must be able to work a flexible schedule, to include weekends, holidays and split shifts.
Must arrive to work on time, consistently.
Upon entering the property, arrive in proper uniform, crisp, clean and in good repair.
Hair must be clean and cut in a becoming style; management has final approval.
Attend all required training, safety courses; attend office and departmental meetings.
Report any safety hazards, follow up that hazard has been corrected, and assist with providing a safe work environment.
Assist applicants by reviewing their application with them to make sure that information is complete.
Knowledgeable of interviewing techniques and laws, perform the screening interview of applicants. Assess whether the Department Head may be interested in applicant for the position they are applying.
Maintain, via computer, an accurate applicant tracking update of all applicants.
Knowledgeable of positions that are available in the different departments. Be aware of job descriptions and hand out proper job descriptions with applications..
Answer phones in a pleasant manner with a willingness to assist.
Job openings for Internal/External posting
Refreshes the positions, meet with recruiter/talent to ensure accuracy and headcounts
Ability to type various letters, memos, etc., as delegated.
Assist with recruiting and colleague engagement collateral
YOS plaques, Sterling certificates, Awardco points
Ability to communicate and maintain good rapport with all Department Heads and other employees.
Supports the HR Team in any way needed as required.
Initiate correspondence for all Learning & Development’s classes and programs.
Create the monthly training calendar for Learning & Development and publicize them to the appropriate areas and departments.
Communicate with colleagues through different methods of communication (In person, phone, email) to schedule colleagues for classes.
Designs Training Collateral for all classes and programs the Learning & Development department is responsible for.
Assembles orientation materials and is responsible for orientation set up.
Assists with preparation of all class materials both pre and post training.
Maintains Learning & Development’s workbook trackers.
Responsible for data entry and content creation for both The InnSider and The Lodge Lowdown.
Order office supplies for the department.
Perform and follow up on any other duties as assigned by the Learning & Development Director.
