POSITION SUMMARY
Assists with the organization, coordination, and implementation of all substitute staffing administrative processes within the Division of Human Resources. Serves as a liaison between the local schools and substitute staff. This position reports to the HR Manager of Substitute Management.
KEY RESPONSIBILITIES
Assists with the operations of a district’s substitute program, including recruitment, onboarding, and completion of the hiring process for substitutes. Enter, update, and retrieve information from various human resources systems to process substitute transactions. Reviews, monitors, and processes substitute applications in the applicant tracking system in an accurate and timely manner. Monitors incomplete applications and notify applicants of documents needed. Assists with facilitating training for Substitute New Hire Orientation.
Works to resolve issues in substitute staffing or refer matters to the Manager as appropriate. Explains the substitute application process for potential applicants. Provides excellent customer service to telephone calls, emails, and in-person appointments.
Assists with substitute staffing recruitment functions and events. Assists with job fairs and other events to inform individuals about the substitute application process. Assists local schools with the automated substitute management system.
Provides support for division-wide initiatives, including but not limited to hiring events, as well as all other duties as assigned, to ensure the effective execution of the responsibilities described herein. Performs all other duties, as assigned and required, in order to perform the above responsibilities.
KEY JOB REQUIREMENTS
High School diploma or GED required. Associates degree in related field preferred. Minimum of two (2) years in an office/clerical environment required. Experience in human resources or staffing preferred. Makes decisions and recommendations which affect the activities of others.
Must currently hold or willing to obtain a notary license.
Ability to exercise independent judgment, troubleshoot, and solve problems; ability to work accurately with employee data and records. Ability to communicate with others in an effective and tactful manner. Ability to write routine correspondence and speak effectively with internal and external customers.
Strong computer skills with a working knowledge of Microsoft Office required, and knowledge of Tyler Munis and/or Frontline Absence Management preferred.
Applies, recommends, and implements technology concepts to improve the efficiency and effectiveness of the District. Light duty – On most occasions sitting at a desk or table; intermittently sitting, standing, or stooping. Light lifting or carrying; twenty (20) lbs. or less.
NOTE:
This is a grade 21, 225-day position that pays for experience up to a Step 4.
