- 4:00 pm, this position will be required to work Monday
- Friday from 8:00 am
- 4:00 pm and must be available to work after hours as business needs dictate.
The HR Representative will assist the HR Generalist with recruitment, benefits, payroll, record maintenance and clerical support within the department.
Essential Functions and Responsibilities:
Clerical /
Administrative:
Provides clerical / administrative support to the HR department, to include be not limited to general filing, faxing, drafting and responding to email and letter correspondences, etc. Maintains and updates the internal phone list and credit union organizational chart as needed. Serves as the first point of contact for employee related HR questions or concerns and forwards more complex questions to the appropriate senior level HR staff or management. Creates and maintains accurate and up-to-date human resources reports, forms, logs, and databases. Assist employees in locating HR documents as requested (i.e., policies, direct deposit form, tax withholding forms, etc.). Coordinates the placement and tracking of credit union shirts for new hires. Administers and compiles employee polls, surveys, and questionnaires as directed from the HR Generalist.
Recruitment, Hiring, Onboarding, and Offboarding :
Maintains and modifies job requisitions within the ATS. Closely monitors applicants status / progress in the recruitment cycle to ensure timely fulfilment of job requisitions. Answers frequently asked questions (FAQs) from applicants and employees regarding recruitment, hiring, onboarding, offboarding, and internal transfer processes. Conducts pre
- and post-employment screenings and assessments; schedules preliminary interviews and may assist the hiring manager with scheduling department interviews.
Coordinates and confirms scheduling new hire orientation and completes all pre-orientation tasks to include, but not limited to, assembling new hire packets, benefits packets, and welcome gift. Coordinates and schedules new hire orientation with the Training Team. Conducts BVS training during orientation and serves as a backup (in the absence of the HR Generalist) in facilitating the HR section of orientation.
Training, Payroll, and Benefits :
Creates new employee profile in BVS, registers / enrolls employees in required annual in-service curriculum and elective training courses, updates employee profile as needed, assists employee with password resets and troubleshoots other technical issues. Coordinates with management and the Compliance Department to update annual course assignments and modifies each curriculum as needed. Assists employees in navigating ADP self-service portal, password resets, and troubleshoots other technical issues. Distributes employee paycheck, W2, and 1095 C forms. Serves as a Benefits Coordinator and assists with semi-annual and annual benefits open enrollment. Processes benefits enrollments, terminations, changes, and modifications with the benefits carrier and in ADP. Answers employee frequently asked questions (FAQs) relating to benefits.
Compliance:
Assists in conducting internal HR audits. Conducts periodic quality control review of all personnel documents and files (i.e., hiring and payroll docs., policies, offboarding docs., benefit enrollment forms). Assist with the regular maintenance and destruction of employee personnel files.
General:
Maintains the integrity and confidentiality of the human resources department, including personnel files, records, and conversations. Serves as an advocate for employees and conveys employee issues and concerns to management for resolution. Reports and alerts management of underlying issues that may need to be addressed. Is proactive in spotting potential problems and / or hazards in the workplace. Makes recommendations and suggestions in areas in need of improvement. Required to complete annual in-services to include critically identified areas: BSA, Compliance, Security and Workplace Conduct. Stays abreast of current trends in the industry and HR employment legislation. Perform all other duties as assigned.
Education and Experience:
Minimum of 1-3 years of similar or related experience. An Associate’s degree in Management or Human Resources, or a Human Resources Certification i.e., PHR, SHRM-CP. Previous experience in a credit union is a plus. Proficient in
MS:
Word, Excel, Outlook, PowerPoint, Adobe Acrobat. Previous experience using ADP payroll, recruitment, and onboarding.
Other:
