Staffing Coordinator MS State Veterans Home-Tradition 11721 Tradition Pkwy, Biloxi, MS 39532
Monday:
1.Email/Fax the timesheets to the agencies 2.Edit the time for the nursing department -On the Monday after payday: 1.Double check on-call time 2.Notify Personnel that nursing pay period for the prior week is complete ASAP 3.Enter on-call time for the current pay period 3.Obtain staffing ratios for the weekend 4.Complete staffing grid sheet 5.Chart attendance for the nursing staff 6.Correctly chart pull-list 7.Email staffing ratios report for the weekend to Administrators, DON and ADON 8.Email the agencies the current staffing needs for nurses and CNAs for the current Mon. to the next Tues. (1 week of needs) 9.Email PRN staff the current staffing needs for the current Mon. to the next Tues (2 weeks of needs) 10.Call and/or text PRN staff and off duty staff to attempt to fill staffing needs 11.Ask the current working staff would they be interested in working any available hours Tuesday thru
Friday:
1.Edit the time for the nursing department daily 2.Obtain staffing ratios daily 3.Complete staffing grid sheet daily 4.Chart attendance for the nursing staff daily 5.Correctly chart pull-list daily 6.Email staffing ratio report for the day prior to Administrators, DON and ADON daily 7.Call and/or text PRN staff and off duty staff to attempt to fill staffing needs 8.Call and/or email the agencies with updated staffing needs 9.Ask the current working staff would they be interested in working any available hours 10.Assist Appointment Nurse and/or transport with needed staff for MD appts Every 2 weeks (week after payday): 1.Chart attendance comments on the EDC for the nursing staff 2.File absentee slips, tardy slips, left early slips, and MD sheets of the nursing staff in the EDC binder 3.Chart attendance comments for agency staff in the agency binder 4.File absentee slips, tardy slips, left early slips, and cancellation slips for agency staff in the agency binder 5.Thurs. and/or Fri. of orientation provide the new hire with their orientation work schedule; then enter their information into the AHT system to provide them with a username and password Every 15th of the month: 1.Text the PRN staff the current staff needs for the next month Other duties performed during the month: 1.Edit Monthly staff schedule and print (post @ least 1 week prior to the beginning week) 2.Edit Daily staff schedule for nurses and CNAs for the next month and print 1.Match request offs to request off slips (as a courtesy, if a staff member has requested off and didn’t fill out a request off, ask them if they would like to use PTO time for that approved request off) 3.Notify Activities when a nursing staff member is ineligible to participate on a resident outing related to an absentee during the past 60 days 4.Notify DON and/or ADON for modifications to requests off that would cause a controversy for staffing needs (too many staff off on one day) 5.Update Staff numbers @ least every other month 6.Inform staff members when they have been denied a request off and get them to sign the denial 7.Assist staff members with requests off that were not approved by getting another staff member to agree to work that shift so they can be off 8.Post 90-day perfect attendance for the nursing staff as follows: 1.1st week of April for Jan-Mar 2.1st week of July for April-June 3.1st week of Oct. for July-Sept. 4.1st week of Jan the next year for Oct-Dec the prior year 9.File and organize the monthly packets with on-call schedules every year in (Jan) 1.Keep the last (2) years in the office just in case MS state board or Survey needs the info 10.Store the monthly packets with on-call schedules in the closet on D wing

- Committee member of a Healthcare Assistant program for recruitment
