Allied Universal is hiring a Candidate Experience Specialist. The Candidate Experience Specialist will offer a standardized, exceptional candidate experience that is welcoming and easy to use with a goal to minimize multiple contact points while navigating the hiring process at Allied Universal. The Candidate Experience Specialist’s role is to be the subject matter expert and face of the company to candidates in the specified market.

RESPONSIBILITIES

Manage applicants in the post-offer process for an assigned area, advance applicants through the steps required for onboardingSchedule Onboarding and New Employee Orientation (NEO) for new applicants by reviewing completed background screening (Backgrounds Complete) and “Ready for NEO” statuses in the Applicant Tracking System (iCIMS) and business intelligence tool (DOMO)Contact candidates via phone, text, and email to confirm dates available for Orientation and send confirmation email to applicant via iCIMSReview DOMO and ensure applicants are moving through the statusesBackground Check Completed (and no driving) > Schedule for NEO3rd Party BG Check > Review BG and see if complete, Schedule for NEO if completedReady for NEO > Those who have previously been reached for NEO but haven’t responded yet Outreach againNEO Scheduled > Confirm with candidate their NEO arrival, ensure no further questions from candidateBackground Check Initiated > This candidate has not completed BG invitation, touch base and offer to help them complete itBackground Under Review > Has the Criminal History card been sent/completed, may need a follow up with HR or CandidateBackground in Process > If candidate has been in the step for a couple of days, please review BG in Sterling and see what is pending. Contact Candidate to let them know BG still in processUpdate iCIMS statuses once applicant is scheduled via person profilePost NEO to On-the-Job Training (OJT)Provide work schedule to applicant (Are we providing any offer/schedule information at time of interview?)Make contact with site manager to ensure new hire has the correct informationMake final contact with employee to ensure first day is completed as scheduledPerform the essential duties of the Onboarding Specialist in their absenceConduct New Employee Orientation sessions:

Application of any state required license trainingDistribute and collect union cardsEnsure completion of post-employment offer forms/activity (e.g., new hire onboarding paperwork)Instruction of Basic Pre-Assignment Lessons (AUS Core Training)Customer-specific core standards training

Instruction of Specialized Training Lessons:

Driver Training, Golf Cart Training, Firearms and Use of Force TrainingInstruction of First Aid/CPR/AED and AHA Heartsaver Bloodborne PathogensAssist with the annual open enrollment process; provide first-line answer to benefit related questions or works with corporate benefits to identify answers for employeesOversee administration of company uniform program, including sizing, issuance of uniforms, timely return of uniforms, assistance with replacements, and maintain all paper and electronic files associated with the programAssist with the workers’ compensation claims management by issuing and obtaining claim paperwork, collecting statements, and coordinating with Corporate Human Resources on doctor’s notes and return to work programsManage all employee WinTeam data entry, including new hire set up and personnel data Coordinates with Payroll to ensure changes are completed properly; respond to questions as neededUtilize online tools to provide timely responsesProcess weekly reports for Corporate Human Resources

QUALIFICATIONS

High School diploma or equivalentPrior work experience in a professional administrative environmentAble to focus and multi-task in a busy environmentAbility to successfully handle stressful situations in a calm and professional mannerEffective management skills; able to coordinate with multiple employees with diverse personalities and engage them to perform at optimum levelsHighly proficient and fully functional in all Microsoft Office applications and able to effectively utilize all available office management technologyAbility to take initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines

PREFERRED QUALIFICATIONS

College degree in business, human resources, or related field of studyHuman resources and/or recruiting experienceExperience using iCIMS or other Applicant Tracking SystemExperience using WinTeam or other Human Resources Information SystemExperience using DOMO or other business intelligence tool
