Job Summary Required experience with Excel, scheduling/payroll systems, strong communication skills Hybrid Position Novant Health is seeking a Staffing Coordinator position. This position performs all staffing and scheduling functions including placement of Staffing Office employees through the use of Time and Staffing system to ensure the most efficient allocation of available Staffing office staff. The Surgical Services Float Pool Staffing Coordinator is responsible for the daily and long-term scheduling and maintenance of surgical services float personnel (OR Nurses, Pre/Post Nurses, Surgical Technologists, and Sterile Processing Technicians) across multiple surgical facilities. Role Specific Responsibilities:

1. Scheduling & Staffing Develop and maintain daily and long-term (6-week) staffing schedules for float pool personnel. Monitor daily staffing levels to ensure coverage meets facility demands. Match float pool staff to facility needs based on skill set, credentials, and availability. Prioritize coverage of critical roles and shifts to avoid disruptions in surgical care. Adjust schedules based on callouts, acuity, or census changes. Coordinate onboarding schedules for new hires. 2. Facility Coordination & Resource Allocation Foster professional relationships with surgical department managers, supervisors and coordinators at each facility. Confirm assignments with each facility daily (for pre-assigned float pool staff) to determine utilization or give-backs. Gather daily needs and collaborate with facility supervisors/coordinators to prioritize critical coverage areas. Understand facility-specific workflows, preferences, and special requests to best prioritize daily staffing. Coordinate the use of per diem, agency, or float pool staff to fill open needs. Communicate schedule changes and staffing updates to facility leaders/coordinators and float pool staff Serve as a liaison between facility and float pool staff regarding staffing needs and concerns. 3. Documentation & System Management Utilize scheduling software (Infor and Teams) to manage schedules, update facility needs list and track attendance in real time. Utilize designated software or spreadsheets to maintain up-to-date and accurate: Daily schedules Long Term (6 week) schedules Filled/unfilled facility needs Facility special requests and notifications of upcoming staffing changes Extra shifts & Call shifts Staff availability and time off requests Attendance, including callouts, tardies and partial absences. Team member PTO calendars Team member files according to compliance standards 4. Reporting & Optimization Generate monthly staffing reports for float pool leadership with shift fill rates, staffing gaps, and team member overtime to identify trends or inefficiencies. Document and report any critical staffing shortages, coverage gaps, or scheduling conflicts to float pool leadership in real time. 5. Communication Availability via phone, text, email, and MS Teams during scheduled hours. Respond to staff inquiries professionally and promptly (30min for text/message, 60min for time-sensitive emails, 24hrs for standard emails). Utilize closed-loop communication. 6. Incident Handling & Support Relay any issues related to punctuality, performance, or professionalism to float pool leadership. Relay facility feedback of float staff to float pool leadership. Support staff by promptly answering questions related to assignments and scheduling within your scope. Refer high-level inquiries to float pool leadership.

Qualifications Education :

High School Diploma or GED, required.

Experience :

Two years of office environment experience, required. Previous staffing experience, preferred. Additional skills required : Demonstrates proficiency with word processing, spreadsheet skills, PowerPoint and other Microsoft Office applications. Must be able to secure and maintain private and confidential information. Requires excellent ability to effectively communicate with hospital staff and ability to successfully complete generic and department-specific skills validation and competency testing. Working knowledge of Time and Staffing preferred (scheduler or staffer experience preferred). Must be detail oriented. Must have the ability to work independently with minimal direct supervision.
