GENERAL DUTIES

The Human Resources Secretary supports the Director of Licensure and the Human Resources Department by providing high-level administrative, technical, and customer service assistance to ensure the effective operation of the department. This position requires strong communication skills, fluency with technology, exceptional organization, and the ability to manage multiple projects across diverse focus areas. Serve as the primary administrative support to the Director of Licensure. Maintain licensure records and remain current on licensure-related polices, procedures, and updates from the Department of Public Instruction. Provide front-line customer service to internal and external stakeholders in person, by phone, and by email. Respond to inquiries from school personnel, applicants, and external agencies with professionalism and accuracy. Prepare and manage documentation Track and manage multiple deadlines and compliance requirements Utilize and manage data in various platforms including Google Workspaces (Docs, Sheets, Forms), Microsoft Office Suite (Word, Excel, PowerPoint), Human Resource Management System (HRMS) and other Information Systems (NCEES, etc.) as designated. Coordinate meetings, manage calendars, and schedule appointments for the Director of Licensure and HR Leadership. Maintain accurate digital and physical records and ensure confidentiality of sensitive information. Provide project management support across human resources functions. Collaborate within and among other departments to support organizational goals. Perform additional administrative duties as assigned by the Director of Licensure, Assistant Superintendent, or Superintendent.

DESIRED QUALIFICATIONS

High School Diploma required; Associate Degree in Business/Office Management (preferred) Strong proficiency with Google Workspace and Microsoft Office applications Demonstrated excellence in organization, attention to detail, customer service, and time management. Ability to provide courteous and responsive front-line customer service. Experience handling confidential information and maintaining professional discretion. Capable of managing multiple projects in a fast-paced, deadline-driven environment. Strong written and verbal communication skills Notary Public certification is a plus
