  • JOB DESCRIPTION
  • OVERVIEW
  • The HR Special Projects & Employee Relations Specialist
  • plays a pivotal role in enhancing the employee experience through strategic benefits support, supporting employee relations investigations, addressing employee concerns, and assisting managers in providing effective employee feedback.
  • DISTINGUISHING FEATURES OF THE CLASS
  • This role is designed for an HR professional with a strong focus on HR operations, standardized processes and accountability to internal service level agreements. The position also supports compliance efforts and contributes to data-driven decision-making through the tracking and analysis of HR metrics and employee relations trends.
  • TYPICAL WORK ACTIVITIES
  • Benefits Navigation & HR Operations
  • + Partner with the Director of Human Resources to develop and implement employee self-service tools for navigating benefits, payroll, and other HR operations.

+ Serve as a point of contact for complex benefits-related inquiries, ensuring employees receive timely and accurate information. + Identify and address gaps in benefits communication and access, enhancing the overall employee experience. + Assist in managing leave requests and accommodation requests; ensure timely completion of forms to maintain compliance and consistency + Process, maintain, and track waiver requests (211, B140, tuition, etc.)

  • Employee Relations & Performance Management
  • + Support employee relations efforts by addressing concerns, facilitating resolutions, and promoting a respectful and compliant work environment. + Assist supervisors in delivering effective employee feedback, developing performance improvement plans (PIPs), and navigating challenging performance or conduct issues to support employee accountability and growth.
  • Project & Workflow Coordination
  • + Monitor timelines and deliverables for HR initiatives and special projects. + Maintain project documentation, including status updates, stakeholder communications, and resource tracking. + Support the implementation of new HR systems or tools by coordinating testing, training, and user support when applicable
  • General Administrative Support
  • + Respond to employee inquiries and route requests to appropriate HR team members. + Draft internal communications, memos, and policy updates for HR leadership. + Assist in preparing agendas and materials for Labor Management meetings and Board of Trustees (BOT) sessions. + Maintain organized records of HR documentation, including compliance reports, meeting notes, and policy updates. +
  • Track follow-up items and ensure timely completion of action items from HR-related meetings.
  • + •Coordinate scheduling and logistics for cross-departmental HR meetings and training sessions.
  • + Other additional duties as needed.
  • HR Process Improvement
  • + Lead initiatives to streamline HR workflows, particularly those related to benefits administration and employee support services + Facilitate change management efforts by engaging stakeholders, communicating updates, and providing training on new processes. + Assist in auditing and modernizing student and college policies and procedures
  • Compliance
  • + Serve as the designated Coordinator for Title VI and Title IX compliance, ensuring institutional adherence to federal and state regulations.

+ Manage investigations and documentation related to discrimination, harassment, and misconduct involving employees and students. + Collaborate with HR, Student Affairs, and Legal Counsel to ensure consistent and compliant practices. + Coordinate and respond to FOIL (Freedom of Information Law) requests in compliance with legal requirements, ensuring timely and accurate retrieval of HR records while safeguarding sensitive employee information.

  • KNOWLEDGE, SKILLS AND ABILITIES
  • + In-depth knowledge of employee benefits programs, compliance requirements, and HR operations.

+ Strong understanding of employee relations practices and conflict resolution strategies. + Experience with HR data analytics, reporting tools, and workforce planning. + Excellent communication and interpersonal skills, with the ability to support employees with empathy and professionalism. + Strong project management and organizational skills, with the ability to manage multiple priorities effectively.

  • MINIMUM QUALIFICATIONS
  • + Bachelor’s degree in Human Resources, Business Administration, or a related field. + Minimum of 5 years of experience in HR project or program management.
  • PREFERRED QUALIFICATIONS
  • A master’s degree
  • SPECIAL REQUIREMENTS
