Job Summary:

The staffing specialist is responsible for the day to day scheduling, coordination of employees on various assignments and overall client management.

Qualifications:

The candidate will be a graduate of high school or equivalent. The candidate must possess excellent interpersonal and communication skills and have the ability to work effectively within a diverse population.

Skills Required:

The candidate must have computer skills including Microsoft word, data entry, internet knowledge, Outlook and Microsoft excel. Record maintenance skills a must. Knowledge of planning and scheduling assignments is imperative.

Responsibilities and Duties:

Prepare weekly assignments/schedules for HHA’s, CNA’s, and housekeepers. Perform ongoing review of schedule making sure all openings are filled. Notify supervisor immediately of shifts you are unable to fill. Confirm schedule reflects proper hours allotted for each client. Replace absent employees to cover callouts. Notify and obtain time slips from employees weekly that fail to clock in or out. Follow-up with employee if not clocked in on time. Update staffing board with any client changes Notify client of any schedule changes or replacement of caregiver. Notify client initially of aide assigned to case as well as start date and aides scheduled hours. Update all schedules in the computer to reflect correct dates and hours worked. Give verbal report to relieving staffing coordinator. Answer office telephone promptly and courteously. Maintain professional atmosphere at all times. Receive referrals from incoming sources. Update schedules in the computer weekly including new dates and hours. Update schedule as changes are made and notify nursing supervisor of changes. Update employee files with callouts. Take on-call as scheduled. Notify supervisor daily of any schedule changes. Assist with orientation of new employees. Assist with interviewing prospective employees. Assist HR with reference checks and chart audits Assist HR with new hire folders and new client folders Schedule employees for in-services or meetings as requested. Notify case managers of client’s hospitalizations or clients return home from hospital and plan to resume care. . Verify client service orders are up to date with approved work hours. Review referral log daily to ensure all cases are assigned. Follow-up with client or designated party via telephone to ensure HHA’s attendance, punctuality and performance. Obtain and download service orders from designated websites. Attend job fairs and recruiting events to recruit as needed Check eligibility on all waiver clients prior to starting case. On call as required Other duties as assigned by supervisor.
