Description Job Summary The Academic Administrative Assistant and Part-Time Recruiter role supports the Counselor Education and Psychology Department and the Business Department by providing administrative assistance while also handling recruitment activities. This dual-role position is crucial in ensuring the smooth operation of administrative tasks and effective student recruitment efforts. Duties and Responsibilities Administrative Assistant
Assist the university in implementing the Statement of Purpose and long-range institutional plans.
Assist in implementing the university’s long-range institutional and financial plans.
Receive and assist students and others entering the office.
Schedule faculty advisement appointments.
Work with students regarding registration issues in the student portal.
Provide necessary forms to students and faculty and assist with their completion.
Answer phone calls, voice mails, and emails for assigned departments; distribute postal mail as needed.
Process data entry and maintain student information in CAMS.
Compose acceptance letters to students and support the graduate office with copies for CAMS.
Organize and maintain student files.
Maintain Excel formats for Student Required Psychometry Courses and track program learning outcomes, student learning outcomes, and key performance indicators.
Assist Counselor Education and Business faculty with additional tasks as assigned.
Part-Time Recruiter
Recruit students for Counselor Education, Psychology, and Business programs.
Represent WCU at high school and community college fairs, both in-person and virtual, as well as university-sponsored and community events.
Cultivate and maintain relationships with high school and community college guidance counselors.
Engage with potential students and WCU applicants.
Maintain a student correspondence file.
Organize and host individual and group prospective student tours.
Participate in the execution of admission-hosted events.
Qualifications Required Qualifications High school diploma.
Ability to use common office productivity software including Microsoft Office 365 (Word, Excel, and Outlook).
Ability to solve practical problems and handle a variety of situations and people. Preferred Qualifications Experience as an Administrative Assistant in a university setting.
Bachelor’s degree. Physical Demands Must possess mobility to work in a standard office setting and use standard office equipment, including a computer.
Must have vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the phone.
Must have the ability to sit or stand for extended periods of time.
Must have strength and agility to move files, paper boxes, minor office equipment, and recruiting supplies.
